This article explains how to create a new vendor and describes the vendor form fields in MaintainX.
Create a New Vendor​
- Web
- Mobile
- From the sidebar, select Vendors.
- Select (Split View) or (Table View).
- Select + New Vendor. The New Vendor form opens.
- Enter a name for the vendor, and fill in the other vendor form fields as needed (see Vendor Form Fields).
- Select Create.
MaintainX creates the new vendor.
- Select + New Purchase Order to create a new purchase order for parts from the vendor.
- Select Use in New Work Order to create a new work order with the vendor added to it.
- From the bottom navigation bar, select More.
- On the More Options screen, navigate to Product Features, and select Vendors.
- On the Vendors screen, select + New Vendor. The Create Vendor screen opens.
- On the Create Vendor screen, enter a name for the vendor, and fill in the other vendor form fields as needed (see Vendor Form Fields).
- Select Create.
MaintainX creates the new vendor. To create a new work order with the vendor added to it:
- On the vendor details page, select (more options).
- Select Use in New Work Order.
Vendor Form Fields​
Vendor form fields define a vendor's properties. The following table describes each of the fields in the New Vendor/Edit Vendor form.
Field | Description |
---|---|
Name | The name of the vendor. It can be up to 255 characters long. You can't create a vendor without a name. |
Add or drag pictures | Attach or drag pictures associated with the vendor. Typically this is where you add the vendor's logo, but you can add other pictures as well. In the mobile app, you can take photos with your device’s camera, or choose existing photos or pictures on the device. In the web app, you can choose any photo or picture on your computer. By default, MaintainX uses the first picture you upload as the vendor's thumbnail image in the Vendor module views. If you add more than one picture, you can choose which one to use as the thumbnail. |
Vendor Color | A color for the vendor in MaintainX. If the vendor doesn't have a thumbnail image, MaintainX displays a circle of this color in vendor lists. If the vendor does have a thumbnail, MaintainX gives it a border of this color. |
Description | A short description of the vendor. It can be up to 4096 characters long (roughly 500-700 words). Make sure to include all relevant details about the vendor. |
Contact List | A list of your organization's contacts from the vendor. For information about how to add, edit, and interact with contacts in the list, see Manage Vendor Contacts. |
Files | Attach files to the vendor. In the mobile app, you can choose existing files or photos on your device. In the web app, you can choose any files or photos on your computer. |
Locations | The locations in your MaintainX organization that you associate with the vendor. This is useful when, for example, the vendor is a service provider who does work at one or more of your locations. |
Assets | The assets in your MaintainX organization that you associate with the vendor. This is useful when, the vendor supplies specific assets, or is a service provider who works on specific assets. |
Parts | The parts supplied by the vendor that are in your parts inventory. You can associate parts with vendors in the Vendor form, or in the Part form when you create or edit a part. When you associate a part with a vendor from the Part form, you can add the vendor's Ordering Part Number, which MaintainX automatically uses in purchase orders for the part. |
Vendor Types | Custom labels that you can apply to sort vendors into types. This is useful for filtering and reporting. For example, you could create a "Service Provider" label to identify third party companies who do work at you facility, or a "Part Supplier" label for part suppliers. By default, MaintainX includes a "Manufacturer" label that it applies to vendors that get created automatically when you import an asset package from Asset Hub. You can create new vendor types while you create or edit a vendor. You can also create and manage vendor types from the vendor settings. For details, see Create and Delete Vendor Types. |
