​Workstation mode turns public computers or public devices into multi-user access terminals. It makes it easier for users to share a device.
Examples of workstations include:
- Desktop and laptop devices installed on facility floors.
- Tablets and mobile devices shared across multiple shifts.
Workstation mode can reduce costs, improve security, and help the organization use IT equipment more efficiently.
MaintainX web and mobile applications work the same way in workstation mode as they do when you log in any other way except users log in with a 4 digit PIN to get to accounts and log off so other users can log in and use the same device.
Requirements​
- To use workstation mode, your organization must be on a MaintainX Enterprise Plan.
- To activate or deactivate workstation mode, you must be an Administrator for your MaintainX organization.
- To log into a workstation, you must be an Administrator or have a PIN.
Workstation mode can stop working:

On the MaintainX web application if your company has a policy to clear the browser cache on close or upon session logout. This occurs because the web application uses cookies (browser data) to store a token.

On the MaintainX mobile application when you clear the cache on the phone. This occurs because the mobile application uses the phone's local storage to store a token.
To restore workstation mode, an administrator can log in and turn it back on.

Setup Workstation Mode​
An Administrator can:
- Activate workstation mode.
- Deactivate workstation mode.
- Generate a PIN for an employee.
- Create PINs for Your Whole Organization.
- Update the Inactivity Timer.
Use Workstation Mode​
In workstation mode, a user with a PIN can:
Activate Workstation Mode​
Administrators can activate workstation mode. When you activate workstation mode, a badge indicator WS appears in the user interface to tell you it's on.
To activate workstation mode, follow the steps below for the web or mobile application:

Log into the MaintainX web application as an Administrator.

From the sidebar, select Settings and then select General.

Navigate to the Workstation Mode section and select Turn this Device into a Workstation.

Select Confirm.
This logs you out of the system and allows other users to sign in.
noteThe initial PIN codes should have been shared with you by a MaintainX representative. If that’s not the case, simply reach back out to the team.

Log into the MaintainX mobile device as an Administrator.
noteYou only need to do this step once per device.

From the bottom navigation bar, select  More.

Select your MaintainX organization name at the top to View Settings.

In ORGANIZATION SETTINGS, select Workstation Mode.

Select Activate Workstation Mode to turn the device into a workstation.

Select Confirm.
This logs you out of the system and allows other users to sign in.

Deactivate Workstation Mode​
To deactivate workstation mode, follow the steps below for the web or mobile application:

Log into the MaintainX web application as an Administrator.

From the sidebar, select Settings and then select General.

Navigate to the Workstation Mode section and select Stop Workstation Mode.

Select Confirm.
This stops workstation mode on the device.

Log into the MaintainX mobile device as an Administrator.
noteYou only need to do this step once per device.

From the bottom navigation bar, select  More.

Select your MaintainX organization name at the top to View Settings.

In ORGANIZATION SETTINGS, select Workstation Mode.

Select Stop Workstation Mode to return to regular log-ins (e.g., using emails or phone number).

Select Confirm.
This stops workstation mode on the device.
Create PINs for Your Whole Organization​
A MaintainX employee can generate a PIN for all the organization's users that don't have one. This is provided as an Excel (CSV) file.
Reach out to your MaintainX representative to get the initial PIN codes.
