Use Workstation Mode

This article explains how to log into MaintainX on a device in workstation mode, change your PIN, and log out.

In workstation mode, multiple users can use MaintainX on the same device. You log in with a PIN and log off when your session is finished so other users can log in and use the device.

You can only be logged into one workstation at a time. When you log into a new workstation, MaintainX logs you out of any other workstations automatically.

Use standard authentication to log in to multiple devices

Workstation mode is designed for shared devices and doesn't support multiple logins for the same user. To log into MaintainX on more than one device at the same time—for example, your mobile phone and your computer—make sure those devices are not set up as workstations, and log in normally (i.e., using a one-time code or single sign-on).

Log Into a Workstation​

To log into workstation devices, follow the steps below for the web or mobile application.

To log into a workstation device:

  1. On the workstation device, scroll to find your username.

  2. Select your username.

  3. Enter your PIN, then select Sign In

    If you forgot your PIN, select I forgot my PIN and MaintainX will send you a new one by email or SMS.

    If your Administrator never provided a PIN, MaintainX prompts you to create one, and sends it to you by email or SMS.

Change your PIN for Workstations​

To change your PIN for workstation devices, follow the steps below for the web or mobile application:

  1. Log into the MaintainX web application with your current PIN.

  2. From the sidebar, select Settings and then select Profile Preferences

  3. Under Preferences, select the edit icon next to Workstation PIN.

  4. Enter a new 4-digit PIN for workstation mode.

  5. Select Confirm PIN.

    The PIN is now changed.

Log out of a Workstation​

To log out of workstation mode, follow the steps below for the web or mobile application:

  1. From the sidebar, select Settings.

  2. Select Sign Out.

    The next user is now able to log into MaintainX by selecting their user account and entering their PIN.

Workstation mode depends on local storage

Workstation mode can stop working:

  • On the MaintainX web application if your company has a policy to clear the browser cache on close or upon session logout. This occurs because the web application uses cookies (browser data) to store a token.

  • On the MaintainX mobile application when you clear the cache on the phone. This occurs because the mobile application uses the phone's local storage to store a token.

To restore workstation mode, an administrator can log in and turn it back on.
