About QR Codes and Barcodes

You can assign barcodes and QR codes to assets, parts, and locations. Barcodes and QR codes help you organize and find things in MaintainX. You can use existing barcodes and QR codes, or create new QR codes in MaintainX.

Barcodes vs. QR codes

Barcodes and QR codes are different ways to represent the same underlying numeric or alphanumeric string. MaintainX can scan both QR codes and barcodes. However, it can only display and generate QR codes.

This means that you can scan existing barcodes into MaintainX to associate them with assets, parts, or locations, but you can't see the barcodes themselves in the MaintainX application.

Similarly, you can't print barcodes directly from MaintainX. You must export them in a .csv file, and print them using a device that supports barcodes, e.g., a dedicated barcode printer. For details, see Print and Export QR Codes and Barcodes.

Assign Barcodes and QR Codes​

To assign existing barcodes:

  • Use the mobile app to scan them into MaintainX when you create your assets, parts, and locations. Or edit an existing asset, part, or location and scan in its code.
  • Use the mobile app to scan a barcode and, when prompted, select Attach code to existing Asset.
  • Have MaintainX bulk-import your barcodes. Contact your MaintainX account manager, or support, to get started.

To create new QR codes:

  • When you create a new asset, part, or location, you have the option to generate a QR code for it.
  • From the settings, you can configure MaintainX to generate QR codes automatically for assets, parts, and/or locations.

Use QR codes to Find Assets, Parts, and Locations​

When you use the MaintainX mobile app to create a work order or find an asset, part, or location, you can scan QR codes to speed up the process.

To find an asset, part, or location:

  1. Go to the Assets, Parts Inventory, or Locations module.
  2. Select the scan QR code icon.
  3. Scan the QR code of the asset, part, or location you want to find to open its details page.

To assign an asset, part, or location to a work order:

  1. Create a new work order. See Create a Work Order for details.
  2. When you assign an asset or location, or add required parts, select the scan QR code icon.
  3. Scan the QR code of the asset, part, or location to assign it to the work order.
  4. When prompted, confirm that you want to assign the asset, part, or location to the work order.

Activate the QR Code Module​

To use barcodes and QR codes,​ you might have to enable the QR Code/Barcode module. You can only toggle the module on and off from the MaintainX mobile app.

To toggle the QR Code/Barcode module:

  1. From the bottom navigation bar, select More to display more features and options.
  2. Select your organization name to open the Organization Settings.
  3. On the Organization Settings screen, select Advanced Features.
  4. On the Advanced Features screen, toggle QR Code/Barcode Module to turn it on or off.
