Artificial Intelligence in MaintainX®
In MaintainX, Artificial Intelligence (AI) is used across multiple modules to help teams work faster and more consistently. AI analyzes data, recognizes patterns, and generates recommendations or actions to support daily operations. AI within MaintainX is designed to assist organizations without replacing human expertise.
For example, AI can flag unusual meter readings, suggest how long a task may take, or help generate procedures from manuals.
Where Does MaintainX Use AI?​
Some AI features in MaintainX run in the background to analyze your data and notify you when it identifies pattern changes or potential improvements to your workflow. Other features require direct interaction via prompts, giving full control over what's ingested and what results can be derived from it.

Types of AI Interaction: Active vs Passive​
MaintainX leverages AI capabilities across different modules to varying degrees. Depending on the feature, you may interact with the AI directly or simply receive its autonomous processing results. These interactions fall into two categories: active and passive.
In both cases, human involvement remains essential. You are responsible for reviewing AI-generated outputs and taking appropriate actions. AI is designed to support decision-making, not replace human judgment.
- Active (user-driven) interactions: You explicitly engage with AI by writing or recording prompts to create work tasks, retrieve information from documents, or generate reports.
- Passive (automated) interactions: AI continuously analyzes your data and usage patterns to detect changes, surface insights, and notify you of potential issues or suggest improvements.

MaintainX AI features are built to assist you in your daily workflow, but their effectiveness depends on the quality of the information you input. Providing clean, consistent data improves AI workflows and creates a solid foundation for ensuring AI effectiveness over time.
The more you interact with AI features like MaintainX CoPilot—and the more consistently you enter data across work orders, procedures, and assets—the faster AI features can identify patterns and surface meaningful insights that support your daily workflow.
As a general guideline, if the information you provide is clear enough for a technician or planner to understand the situation without asking follow-up questions, the AI will be able to interpret it as well.
Guidelines​

Completeness​
When interacting with AI-powered features, include all relevant context to understand the task or issue. Avoid assuming the AI has prior knowledge of an asset, site, or history. Missing context forces the AI to guess, potentially impacting the quality of its output.
Precision​
Be specific when describing your goal, situation, or desired output. Clear, detailed information helps the AI retrieve more accurate results from related work, assets, or historical records.
Consistency​
Use consistent, standardized terminology across your organization when working with AI to help ensure relevant and reliable results.
Factuality​
Clearly distinguish between confirmed observations and assumptions. When describing an issue, focus on facts (e.g., “the motor is overheating”) rather than assumptions (e.g., “the motor is failing”). If you're uncertain, identify which information is an assumption or guess. This helps the AI provide more accurate and actionable guidance.

Structure​
When possible, group related details together. Organizing information logically makes it easier for the AI to process your input and provide faster, more accurate responses.

MaintainX CoPilot reduces the time and effort required to find information, creates and updates work tasks, and troubleshoots asset issues by enabling natural language interaction and centralizing maintenance knowledge.
