Artificial Intelligence in MaintainX®

In MaintainX, Artificial Intelligence (AI) is used across multiple modules to help teams work faster and more consistently. AI analyzes data, recognizes patterns, and generates recommendations or actions to support daily operations. AI within MaintainX is designed to assist organizations without replacing human expertise.

For example, AI can flag unusual meter readings, suggest how long a task may take, or help generate procedures from manuals.

Where Does MaintainX Use AI?​

Some AI features in MaintainX run in the background to analyze your data and notify you when it identifies pattern changes or potential improvements to your workflow. Other features require direct interaction via prompts, giving full control over what's ingested and what results can be derived from it.

Types of AI Interaction: Active vs Passive​

MaintainX leverages AI capabilities across different modules to varying degrees. Depending on the feature, you may interact with the AI directly or simply receive its autonomous processing results. These interactions fall into two categories: active and passive.

In both cases, human involvement remains essential. You are responsible for reviewing AI-generated outputs and taking appropriate actions. AI is designed to support decision-making, not replace human judgment.

  • Active (user-driven) interactions: You explicitly engage with AI by writing or recording prompts to create work tasks, retrieve information from documents, or generate reports.
  • Passive (automated) interactions: AI continuously analyzes your data and usage patterns to detect changes, surface insights, and notify you of potential issues or suggest improvements.

How to Interact with AI​

MaintainX AI features are built to assist you in your daily workflow, but their effectiveness depends on the quality of the information you input. Providing clean, consistent data improves AI workflows and creates a solid foundation for ensuring AI effectiveness over time.

The more you interact with AI features like MaintainX CoPilot—and the more consistently you enter data across work orders, procedures, and assets—the faster AI features can identify patterns and surface meaningful insights that support your daily workflow.

As a general guideline, if the information you provide is clear enough for a technician or planner to understand the situation without asking follow-up questions, the AI will be able to interpret it as well.

Guidelines​

Completeness​

When interacting with AI-powered features, include all relevant context to understand the task or issue. Avoid assuming the AI has prior knowledge of an asset, site, or history. Missing context forces the AI to guess, potentially impacting the quality of its output.

Precision​

Be specific when describing your goal, situation, or desired output. Clear, detailed information helps the AI retrieve more accurate results from related work, assets, or historical records.

Consistency​

Use consistent, standardized terminology across your organization when working with AI to help ensure relevant and reliable results.

Factuality​

Clearly distinguish between confirmed observations and assumptions. When describing an issue, focus on facts (e.g., “the motor is overheating”) rather than assumptions (e.g., “the motor is failing”). If you're uncertain, identify which information is an assumption or guess. This helps the AI provide more accurate and actionable guidance.

If you are uncertain, share only the information you have confirmed and explicitly identify which information is unverified, assumed, or guessed.

Structure​

When possible, group related details together. Organizing information logically makes it easier for the AI to process your input and provide faster, more accurate responses.

AI-Powered Features in MaintainX​

The following sections describe how each AI-powered feature in MaintainX works, what type of interaction it uses, and how human intervention and data quality contribute to its effectiveness.

Anomaly Detection​

Anomaly Detection uses machine learning trained on historical maintenance data to automatically flag unusual values in procedure fields and meter readings. It runs in the background without requiring direct user prompts. By flagging anomalies early, it supports proactive maintenance, reduces equipment downtime, and improves the reliability of maintenance records.

Automatically analyzes procedure fields and meter readings to detect anomalies, including:
  • Blank or missing values.
  • Missing or incorrect decimal points.
  • Unexpected negative or positive values.
  • Values outside historical ranges.
Applies anomaly detection to:
  • Recurring and one-time work orders
    (when the field has been used in at least three prior work orders).
  • Manual meter readings.
  • Numeric field types such as Number, Amount, and Meter Reading.
Review anomaly notifications and choose to:
  • Correct the entered value.
  • Confirm the value as valid.
  • Reject the anomaly flag.

Anomaly Detection improves as more data is collected across assets and work orders. Increased usage enables more accurate baseline ranges, better pattern recognition, and earlier detection of potential equipment issues.

MaintainX CoPilot​

MaintainX CoPilot is a generative AI assistant that processes natural language prompts to search asset documentation, work order histories, and previous interactions with MaintainX. It's an active AI assistant that responds directly to user prompts and supports interactive workflows.

MaintainX CoPilot reduces the time and effort required to find information, creates and updates work tasks, and troubleshoots asset issues by enabling natural language interaction and centralizing maintenance knowledge.

  • Decision support:
    • Assists with troubleshooting and diagnostics.
    • Answers questions about assets and maintenance history.
  • Actively ask questions or request assistance.
  • Review and edit AI-generated outputs.
  • Decide how to apply AI recommendations within your workflow.

MaintainX CoPilot becomes more effective as it gains access to a growing set of documentation, completed work orders, and user interactions. Increased usage improves response accuracy, consistency, and creates an internal knowledge base for your organization.

Smart Time Estimates​

Smart Time Estimates uses predictive machine learning models to estimate work order durations based on patterns observed in historical maintenance data. It runs in the background to automatically generate and update time estimates without requiring user prompts.

Smart Time Estimates addresses inaccuracies in manual time estimation by providing data-driven duration predictions. This helps your organization plan schedules more effectively, balance workloads, and reduce overtime and unplanned downtime.

  • Analyzes past work order data that shares at least two of the following attributes: Asset (required), Procedure, Assignee, Category.
  • Generates a time estimate when a work order is created.
  • Automatically updates estimates when relevant fields change.
  • Uses multiple sources of time data, including:
    • Manually entered technician time
    • Estimated time fields
    • In-progress time based on status changes
    • Total time from creation to completion.
  • Enable Smart Time Estimates.
  • Choose whether estimates are applied automatically or shown for manual approval.
  • Review estimates and adjust schedules as needed.

Smart Time Estimates improves as more work orders are completed and logged. A larger historical dataset of assets, procedures, and technicians enables more accurate predictions and better capacity planning over time.

Limitations and Responsibilities​

AI-powered features within MaintainX are designed to support you in your daily workflow by analyzing your data to identify relevant information and recommend actions that can improve your work.

However, these features don't:

  • Execute changes without your intervention.
  • Make final or autonomous decisions.

Human review and approval are always required. AI is most effective when used alongside your expertise and oversight.
