Smart Hub is the central workspace for AI-powered skills in MaintainX®. Set up skills to:

  • Run recurring analyses.
  • Surface operational insights.
  • Identify trends.
  • Generate reports, recommendations, or draft content.

Run skills on demand or, when supported, schedule recurring runs. Review the results in the Smart Hub inbox and decide what to do next.

important

AI-generated recommendations may include errors. Review recommendations before acting on them.

How Smart Hub Works

  1. Select and configure a skill. Choose a skill that aligns with your workflow and set it up.
  2. Run the skill. Run the skill on demand or schedule it to run automatically, if supported.
  3. Get the results. The skill analyzes your data, sends its results to the Smart Hub inbox, and notifies you when the results are ready.
  4. Review and take action. Review the results and decide on the next action. Available actions depend on the skill.

Throughout the workflow, you stay in control by deciding when to run a skill and whether to review, approve, archive, or act on its generated output.

AI-Powered Skills

An AI-powered skill is a configurable AI capability that analyzes your operational data and generates recommendations, reports, or other outputs. Each skill has a Details and an Activity tab where you set up the skill and monitor the skill's runs and output.

Once a skill finishes running, it sends its output to the Smart Hub inbox and notifies you that it's ready for review. Depending on the skill, you can review, approve, reject, edit, or archive the generated output.

Details Tab

Use the Details tab to learn how the skill works, understand how you can integrate it in your workflow, and configure it.

Activity Tab

Use the Activity tab to track a skill's runs and access generated outputs. On this tab, you can:

  • Check run statuses.
  • Access generated output.

Available AI-Powered Skills

You can use the following AI-powered skills to accelerate your daily workflow.

AI-Powered SkillHelps YouOutput

PM Plan AuditorEvaluate how well an asset’s preventive maintenance program works.A report covering PM completion, failures despite maintenance, and PMs that repeatedly find no issues over a selected date range.
PM Schedule MonitorIdentify preventive maintenance tasks falling behind schedule.A list of preventive-maintenance tasks to update.
Request Cleanup HelperReview incoming work requests.A triage briefing of incoming work requests.

Schedulable Skills

Some skills can run on a recurring schedule, such as daily, weekly, or monthly. You can create multiple schedules for the same skill, each with its own settings and scope. Use these schedules to analyze different areas of your organization and build a broader view of your operations.

Each scheduled run sends its output to the Smart Hub inbox for review. Scheduling an AI-powered skill only automates the analysis, you still need to decide whether to act on the results.

For more information, see Schedule a Skill.

Smart Hub Inbox

The Smart Hub inbox brings together results generated by AI-powered skills, including summaries, reports, insights, tasks, or recommendations. This allows you to efficiently review recommendations and decide how to incorporate them into your workflow. For more information, see Smart Hub Inbox.

Open an output to review its details. Depending on the skill, you can:

  • View a report or summary.
  • Edit generated content.
  • Approve or reject a suggested action.
  • Archive an output.
important

Reports and summaries provide information to help you make decisions. Outputs that suggest changes require your approval.

Built-In Safeguards

AI-powered skills enhance your maintenance workflows, but include built-in safeguards that prevent them from acting independently.

Skills can't:

  • Execute changes without your approval.
  • Make final or autonomous decisions.

MaintainX implemented these safeguards to make sure you remain in control of your organization's data and workflows.

important

AI-powered skills never apply changes automatically. Your review and approval are required before AI-generated outputs are incorporated into your workflow.

Use Case: Restock Parts

The following workflow illustrates how, as an Administrator, you can configure and run Parts Restocker to identify parts that need restocking and generate a draft purchase order for review.

Help Us Improve Smart Hub

Help us improve Smart Hub by suggesting new skills or sharing feedback on AI-generated outputs. Your feedback will help us identify opportunities to improve existing skills and develop new ones.

  • Suggest a new skill: Go to the Skills page to suggest a new Skill you'd like to see in Smart Hub. Describe what you want the Skill to do and how it could support your workflow.
  • Share feedback on AI-generated outputs: Go to the Smart Hub inbox page and select an output to provide feedback. Tell us what worked well, what was inaccurate or missing, or how the output could be improved.
