Manage Conversations

In MaintainX, a conversation is a message thread that includes two or more users in the same organization. You can start a conversation by messaging a team or by manually adding individual users to a message.

This article explains how to manage conversations in MaintainX using the Messages module.

Edit the Name and Icon of Conversations​

You can edit both the name and the image icon of a conversation to help keep your messages organized and easily recognizable. This is especially useful for group conversations where a clear title and visual cue help you identify conversations at a glance.

To edit a conversation:

  1. From the sidebar, select Messages.

  2. Locate the conversation you want to edit, and select it to view its messages.

  3. Select (more options).

  4. Select Change Conversation Name or Picture.

  5. When prompted, do either of the following:

    1. Choose an image to upload

      1. Select an image to upload from your desktop.
    2. Edit the name of the conversation.

      1. (Optional) You can add a description of the conversation. This can be useful when the conversation is about a specific topic or issue.

Leave Conversations​

You can leave conversations or group chats in the Messages module. This is useful if you've been reassigned to a task force and need to communicate with a different group of people or if you're part of a conversation where your input is no longer needed. Leaving a conversation can help you keep your message list relevant and focused on active discussions.

You cannot leave a team chat. You must be removed from the team by an Administrator or a team administrator. For more information, see Create and Manage Teams.

To leave a conversation:

  1. From the sidebar, select Messages.
  2. Locate the conversation you want to leave, and select it to view its messages.
  3. Select (more options).
  4. Select Leave Conversation.

Hide Conversations​

You can hide conversations from your list in the Messages module. This action does not remove you from the conversation or delete any messages, but hides the conversation from your main view. This can be especially useful for archiving older or less relevant conversations without losing access to them.

To view or re-add a hidden conversation, search for it using the search bar. Once selected, it will automatically reappear in your conversation list. To have it stay in your conversation list, write a message in the conversation.

To hide a conversation:

  1. From the sidebar, select Messages.
  2. Locate the conversation you want to hide, and select it to view its messages.
  3. Select (more options).
  4. Select Hide Conversation.

Mute Conversations​

You can mute conversations in the Messages module. This is helpful when you want to stay informed about a conversation without being notified of every new message. Muting a conversation means you’ll still have access to it and can read updates at your convenience. This can be especially useful for group discussions that are active but not immediately relevant to you.

To mute or unmute a conversation:

  1. From the sidebar, select Messages.
  2. Locate the conversation you want to mute.
  3. Hover over its name and select the (chevron) icon to display the conversation actions menu.
  4. Select Mute/Unmute Conversation.

Pin Conversations​

You can pin conversations in the Messages module to keep important ones at the top of your list for easy access. Pinned conversations remain fixed at the top, even as new messages arrive in other threads. This helps you quickly access high-priority or frequently referenced conversations without having to scroll or search.

To pin or unpin a conversation:

  1. From the sidebar, select Messages.
  2. Locate the conversation you want to pin.
  3. Hover over its name and select the chevron menu.
  4. Select Pin/Unpin Conversation.
Quick actions for conversations

In the MaintainX web application, you can quickly access actions like pin, mute, hide conversation, and mark as unread from the conversation actions menu. To access the conversation actions menu, hover over a conversation in the Messages module, and when the (chevron) icon appears, select it.

On mobile, navigate to the conversation and long-press it. The actions menu will appear, allowing you to choose from the available options.
