MaintainX Mobile App Overview
This article is an overview of the MaintainX mobile app that explains the following features:
Bottom Navigation Bar​
The bottom navigation bar provides access to the following:
Module | Description |

Overview | Select Overview to access the Overview screen on the MaintainX mobile app. |
Work Orders | Select Work Orders to open the module and a list of all work orders in the organization. You can view and edit them. For more information, see About Work Orders. |
Assets | Select Assets to open the module and a list of all assets and locations in the organization. You can view and edit them. For more information, see About Assets and About Locations. |
Messages | Select Messages to open the module and a list of all direct messages and team conversations you're part of in the organization. You can send and receive messages. |
More Options | Select More to access organization settings, and additional product features such as Parts Inventory, Procedures and more. |
Overview Screen​
The overview screen is the home screen of the mobile app. It lets you navigate through MaintainX and access different modules in the app. It has the following sections:
Overview Shortcut Bar​
Select one of the following:
Action | Icon | Description |

Due Today | Show a list of all work orders due for the day. | |
Invite | Invite people to join your MaintainX organization. You can enter their contact information directly or select Find Contact to search for a contact in your address book. | |
Scan Code | Scan a QR code or barcode with your device's camera. For example, if you are creating a work order for an asset that has a QR code associated to it, scan the QR code to add the asset to the work order. | |
Support | Contact the MaintainX support team through chat. | |
Pause or Resume | | Pause your notifications for a selected amount of time. Resume your notifications manually. |
Message | Send messages to team members or teams in the organization. |
Work Order Status​
In the WORK ORDER STATUS section, you can see at a glance the current status of work orders in the organization through the following sections:
Section | Description |
---|---|
High Priority Work Orders | Lists all work orders that have Priority set to High, are assigned to you or a team you're part of, and require your attention. |
Overdue Work Orders | Lists all work orders that are past their due date, assigned to you or a team you're part of, and require attention. |
Request Pending Approvals | Lists all pending requests that require approval from an Administrator before becoming work orders. |
Completed in the Last 7 days | Lists all work orders assigned to you or a team you're part of that were completed in the last 7 days. |
TO-DO List​
The TO-DO List section gives you a compact list of work orders separated in the following sections:
Section | Description |
---|---|
Assigned to Me | Lists all work orders assigned to you that require your attention. They're either Open, In Progress or On Hold. |
Assigned to My Teams | Lists all work orders assigned to a team you're part of. You can be part of multiple teams. If you are part of more than one team, you can select the team you want to see the work orders for by selecting the Assigned to My Teams dropdown. |
Everything Else | Lists all unassigned work orders. |
Recent Activity​
The RECENT ACTIVITY section lists all actions taken by users in the current organization. It shows recent changes such as completed work orders, time logged in to work orders and more.
More Options​
The More Options screen provides information about the MaintainX organization such as the organization's settings, as well as access to additional product modules like Vendors, Meters, and support resources.
To access the organization's settings:
- From the More Options screen, select the name of the organization.
As an Administrator, you can make changes to the organization. For example select the (Edit) icon next to the organization's name or logo. When you're finished, select Update.
As an Administrator or Full User, you can invite members using their email address or phone number to send an invitation. You can also access the contacts on your device to choose people to invite.
Organization Settings​
In the ORGANIZATION SETTINGS section, you can select the following:
- Teams/Users
- General Settings
- Advanced Features
- Workstation Mode
- Categories
- Recent Activity
- Export Data
- Download Center
Teams/Users​
The Users tab lists all the users in the organization. Select Invite People to invite members to the organization either by email or phone number. You can also access your contacts on your device and send them invitations to MaintainX.
The Teams tab lists all the teams in the organization. Select +Create Team to create a team. You can add users to the team immediately, or just create the team and add users later.
General Settings​
The General Settings screen is where an Administrator can define settings such as the date format, the currency and the timezone for the organization.
Advanced Features​
The Advanced Features screen allows Administrators to toggle on and off modules that are included with your MaintainX plan such as Parts Inventory or the QR code/Barcode module.
Workstation Mode​
Workstation mode allows an Administrator to turn the device into a multi-user access terminal. For more information, see About Workstation Mode.
Categories​
The Categories screen lists all the category labels that you created and can assign to work orders. Categories are labels and can be useful to categorize the work in the organization.
Recent Activity​
The Recent Activity screen lets you select whether you want to show comments on the updates and show all updates in the recent activity feed.
Export Data​
The Export Data screen allows Administrators to export a list of work orders to a PDF file.
You can also export work order data to CSV (Excel) files from the MaintainX web application. For more information, see Export Work Order Data
Download Center​
The Download Center lists all the reports and data you exported from MaintainX. Exports stays in the download center for 30 days, and you can download them any time in that period.
My Account​
The My Account screen provides information about your profile in MaintainX, access to account settings, support resources, and additional information such as the version of the app you are using and the option to delete your account.
To access the My Account screen:
- From the Overview screen, select Account.
Profile​
To make changes to your personal information, select the (Edit) icon next to your name. You can edit the following information:
- First Name
- Last Name
- Phone Number
When you change your email address, you’ll receive a notification email from MaintainX asking you to validate the new email address. You must confirm within 24 hours following your change to maintain access to your account. The link will expire after 24 hours. For questions, contact your MaintainX Account Manager.
Account Settings​
In the ACCOUNT SETTINGS section, you can select the following:
Notification Settings​
The notification settings let you select your preferences for notifications for the following modules:
- Work Orders
- Messages
The list of modules in your notification settings varies depending on your role in the organization and your MaintainX plan. For more information, contact your MaintainX Account Manager.
When you select Work Orders, you can choose your preferences for:
- Push notifications
- Email notifications
When you select Messages you can choose to receive a push notification on your mobile device for:
- Every new Message
- Only direct messages and mentions
- Nothing
Offline Settings​
Offline mode lets you use the MaintainX application when your device isn't connected to the internet. You can continue to work on work orders and complete tasks as scheduled if you lose internet connection due to an outage. When you reconnect to the internet, MaintainX prompts you to turn off offline mode and sync your data.
Date Format​
Choose the date format for your organization. The date format you choose is reflected across your MaintainX organization.
First Day of the Week​
Choose the first day of the week for the organization.
Language​
Change the display language to use MaintainX in the language of your choosing. For more information on the supported languages and on how to change the language, see Supported Languages and Change the Display Language.
Single Sign-On​
Set up your single sign-on to authenticate yourself when logging into multiple software services using a single ID. For more information, see About SSO For MaintainX.
Switch Organization​
Available for Enterprise plans. For more information, contact your MaintainX Account Manager.
You can switch between the MaintainX organizations you're a member of. Select Switch Organization at the top of the screen and select the organization you want to access. From there, you're brought to the Overview screen of that organization.
