*Requires the MaintainX® for Service add-on.
A service report is a summary of completed work that service providers send to their customer (the external company or individual the service team performs service calls for) once a work order is completed and marked Done. MaintainX generates the report and delivers it to the customer through a link they can open without having to log into MaintainX themselves.
Before You Begin
To send a service report, you need:
- The Customers module. You can only generate a service report from a work order that's linked to a customer.
- A contact on the customer record. MaintainX emails the report link to the customer contacts on the work order.
- Administrator permissions. Only Administrators can send or configure service reports.
What's in a Service Report
A service report presents the details of a completed customer work order in an easy-to-read format. The details include:
- A summary of the work performed.
- A condensed view of the completed procedures, so the customer sees the key steps without scrolling through a long checklist.
- The customer, location, and asset associated with the job.
- Your organization's branding, if you've configured it.
The customer views the report through a link. The report is optimized for mobile and small screens, and the customer can download it as a PDF for their own records.
For more information, see What's in a Service Report.
How Customers Receive a Service Report
When a service report is sent, the customer gets an email letting them know it's ready, along with a link to view it. From there, they can:
- Review the report to confirm the completed work.
- Download a PDF copy.
You can control when to send a service report to a customer:
- Automatically, by turning on auto-send in your organization's service report settings.
- Manually, on a per-work-order basis, for any customer excluded from auto-send or when auto-send is turned off.
