Join an Organization

What's a MaintainX® Organization?​

An organization is an entity that manages its own assets, procedures, work orders, and other maintenance-related data. Organizations are typically set up to represent individual sites, facilities, or plants within a company’s structure in MaintainX.

For Enterprise clients, MaintainX provides Global Organizations, which work as parent entities that oversee multiple individual organizations. Think of it as a higher-level layer that connects sub-organizations and lets you view all their data in one centralized place.

Global Organizations enable companies with several sites to manage them collectively while maintaining separate organizational structures at each location. It's also a great alternative to streamline processes across all sub-organizations from one centralized place.

Send an Invitation to Join MaintainX​

To have access to MaintainX, you must be invited.

By joining an organization, users can use MaintainX to manage their work, gain insight into different entities, and communicate with other team members.

Once you receive an invitation to join, you must accept it before logging in to MaintainX and accessing the organization that invited you.

Accept an Invitation by Email​

  1. In your email mailbox, select the email invitation from MaintainX.

  2. In the email, select Click to Confirm Your Email. It's important to note that the link is valid for 24 hours after reception.

  3. Once selected, the email is confirmed, and you are part of the organization.

  4. Either in the mobile or web application, in the email address field, enter your email.

    • If the login screen prompts you to enter your phone number, select Use email address instead.
  5. Select Next.

  6. MaintainX sends an email with a login code to the email address you entered.

  7. In your email mailbox, select the MaintainX email with the login code.

  8. Enter the code in the MaintainX application.

You will be logged in automatically to the MaintainX application.

Accept an Invitation by SMS Message​

  1. In your mobile device, select the SMS message invitation from MaintainX.

  2. In the SMS message, take note of the authentication code.

  3. Either in the mobile or web application, in the phone number field, enter your phone number.

    • If the login screen prompts you to enter an email address, select Use phone number instead.
  4. Select Next.

  5. Enter the authentication code.

You will be logged in automatically to the MaintainX application.

  1. Administrators can send a temporary link with an expiration either by email or SMS message.
  2. Once received, select the link.
  3. Verify the information mentioning the name of the organization to confirm you are joining the correct organization and, select Confirm.

Join an Organization using SSO​

Single sign-on (SSO) is only available for Enterprise plans. For more information, contact your MaintainX representative.

Administrators can set up Single Sign-On (SSO) for users in their organization. Single sign-on (SSO) is an authentication scheme where a user can log into multiple software services using a single ID.

Once a user is logged using SSO, they can use MaintainX like any other users part of the organization. You can set a default role for new users, for details, see Set the Default Role for New SSO Users.
