Conduct a Cycle Count

To conduct a cycle count, you physically count the parts you have in inventory, and update the available quantity in the work order for the cycle count. When you complete the work order, MaintainX updates your parts inventory with the results of the count.
You can't conduct a cycle count while in offline mode.
When you start progress on a cycle count work order, MaintainX displays an In Progress badge on the cycle count in the Cycle Counts list.
Assignees can execute a cycle count work order using the web application or the mobile application. On the mobile application they can scan part QR codes/barcodes to select parts to count.
To hide the current part counts in the MaintainX parts inventory from assignees, make sure to select the Hide on-hand quantity option when you create the cycle count (see Schedule a Cycle Count).
Execute a Cycle Count Work Order​

To execute a cycle count work order:

From the sidebar, select Work Orders.

In the Work Orders module, select the work order for the cycle count you want to conduct.
tipUse the Work Type filter in the Split view or the Table View to see only cycle count work orders. Combine it with the Status filter to see only cycle count work orders that are open or in progress.

In the work order details, navigate to the Counted Parts section and select Count Parts.
The cycle count dialog opens.

For each part in the cycle count dialog, do the following:

Physically count the quantity in your inventory.

Enter the total in the Counted Qty. column, or use the / (plus/minus) to increase or decrease the count.
After you enter the counted quantity, MaintainX automatically adds your user name in the Counted by column.

When you're finished counting parts, select Close to close the cycle count dialog.

When you've counted all the parts in the cycle count, return to the work order details, and select Done to complete the cycle count.
After you complete a cycle count, MaintainX does the following:
- Updates your parts inventory to match the counted quantities. If the cycle count included a large number of parts (i.e., 1000 or more) this might take a little while.
- Creates the work order for the next occurrence of the cycle count.
- Updates the cycle count history for each part you counted. For details, see Part Cycle Count History.
- Creates a cycle count report that shows a summary of the count. You can see the report in the Cycle Counts module. For details, see Cycle Count Reports.
To execute a cycle count work order:

From the bottom navigation bar, select Work Orders.

In the Work Orders module, select the work order for the cycle count you want to conduct.
tipUse the Work Type filter in the Split view or the Table View to see only cycle count work orders. Combine it with the Status filter to see only cycle count work orders that are open or in progress.

In the work order details, navigate to the Counted Parts section and select Count Parts.
The list of parts to count appears.

For each part, do the following:

Select the part from the list. You can use the search box to find a specific part.
Or
Select the (scan QR code) icon and scan the part's QR code or barcode.
The Update Quantity options appear.

Physically count the quantity in your inventory.

Use the / (plus/minus) to increase or decrease the count, or type the total into the text box. Then select Save.
MaintainX adds your user name in the Update Quantity options automatically.

When you've counted all the parts in the cycle count, return to the cycle count work order details, and select Done to complete the cycle count.
After you complete a cycle count, MaintainX does the following:
- Updates your parts inventory to match the counted quantities.
- Creates the work order for the next occurrence of the cycle count.
- Updates the cycle count history for each part you counted. For details, see Part Cycle Count History.
- Creates a cycle count report that shows a summary of the count. You can see the report in the MaintainX web application. For details, see Cycle Count Reports.
Once you complete a cycle count work order, you can't re-open it to make changes. If you need to correct or further adjust the part counts, you have to edit them directly in the Parts module.
See Cycle Count Progress​
MaintainX displays a progress bar for a cycle count in the following places:
- The cycle count work order details.
- The cycle count dialog/screen that you access from the work order.
- The cycle count entity in the Cycle Counts module.
As you add part counts, the progress bar updates automatically.
The progress bar in the cycle count entity doesn't update until you start the corresponding work order and add a count for at least one part.
If you mark a cycle count work order Done without counting all the parts, the progress bar in the completed work order shows you how many parts you counted.
