This article explains how to view and export reports for completed cycle counts, and where to see cycle count information in the Reporting and Parts Modules.
Part Cycle Count Historyβ
When you complete a cycle count, MaintainX updates the cycle count history for each part you counted. You can see any part's cycle count history in the part details. Each entry in the cycle count history shows the following information:
Field | Description |
---|---|
Cycle Count | The name of the cycle count where you counted the part. |
Last Cycle | The date that you last completed the cycle count. |
Next Cycle | The Start Date for the next instance of the count. If the cycle count doesn't have a start date, MaintainX displays the Due Date instead. If the part is no longer included in the cycle count, or the cycle count no longer exists, MaintainX displays N/A. |
Cycle Count Reportsβ
When you complete a cycle count, MaintainX creates a report with the results. You can access the report history for any cycle count in the Cycle Counts module.
View Cycle Count Reportsβ
To view cycle count reports:

From the sidebar, select Parts > Cycle Counts.

Select the cycle count that you want reports for.

In the cycle count details select Count Reports.
The Count Reports window opens. By default, it shows the last report, but you can select any historical report. Available reports are listed by date completed.

Select the report that you want to view.
A cycle count report that you view in the MaintainX web application contains the following information for each part in the count.
Field | Description |
---|---|
Name | The name of the part in the MaintainX organization. |
Available Qty. | The part quantity in your MaintainX parts inventory before the cycle count was conducted. |
Counted Qty. | The real world count of the part in your physical inventory. MaintainX updates your parts inventory with this number when you complete the cycle count. |
Variance | The difference between the Available Qty. and the Counted Qty..

Cost Variance | The difference in cost between the Available Qty. and the Counted Qty.. This is the Variance multiplied by the part's unit cost. |
% Cost Difference | The percent difference in cost between the Available Qty. and the Counted Qty.. |
Export a Cycle Count Reportβ
After you open a report in the Count Reports window you can export it as a CSV file.
To export a cycle count report:

Select the (export) icon. MaintainX saves the exported file to the download center, and a download notification appears.

From the download notification you can do any of the following:
- Download the exported file.
- Open the export in a new browser tab. This option is only available for PDF files.
- Select View in Download Center to open the download center. The exported file appears in the Export Request History section.
An exported cycle count report contains the following information for each part in the count.
Field | Description |

Part ID | The partβs unique identification number in the MaintainX organization. |
Part Name | The name of the part in the MaintainX organization. |
Original Quantity | The part quantity in your MaintainX parts inventory before the cycle count was conducted. |
Updated Quantity | The real world count of the part in your physical inventory. MaintainX updates your parts inventory with this number when you complete the cycle count. |
Quantity Variance | The difference between the Original Quantity and the Updated Quantity.

Cost Variance | The difference in cost between the Original Quantity and the Updated Quantity. This is the Variance multiplied by the part's unit cost. |
Submitted At | The date and time a user submitted the count for the part. |
Submitted By | The User Name of the user who submitted the count for the part. |
Cycle Count Data in Work Order Reportsβ
By default, cycle count work orders are included in the work order totals that MaintainX uses for work order reports (see About Work Order Reports). Some work order reports display information about cycle count work orders. For example, the Work Orders by Type report.
