Work Request Settings

This article explains how to configure work request settings for a MaintainX organization.

Set Work Request Preferences​

  1. From the sidebar, select Settings > Features.

  2. Navigate to the Requests section and select Set Preferences.

  3. From the Requests preferences tab, select from the following options to customize your work request settings:

    • Request Routing: allows anyone who creates a work request to assign it to a team in your organization.
    • Required Fields: allows you to make a request form field optional or mandatory, or hide them.

Organizations on an Enterprise plan can also request settings to create and manage custom fields for work requests. For more information, contact your MaintainX representative.

Set Up Request Routing​

Set up request routing to allow anyone who creates a work request to assign it to a team in your organization.

When request routing is on, the request forms in the MaintainX application, and any request portals include an Assign To field, where requesters can choose teams to assign their requests to.

This is useful in large organizations where different departments might have their own MaintainX Administrators who can process requests for their departments.

Assigned work requests appear in the team's requests queue, so the team can decide whether to approve or decline them.

tip

Normally, a team that handles requests is a different team than the team that does the requested work.

For example, you might have a Maintenance Managers team that handles requests, and a Maintenance team that does the work.

Turn Request Routing On​

To turn request routing on:

  1. From the sidebar, open the Settings menu and select Features.
  2. Navigate to Requests, and select Set Preferences >.
  3. Under Requests select Request Routing >.
  4. Configure the Request Routing options. For details, see Request Routing Options.
  5. Select Save Changes.

The Assign To field now appears in the request form and any request portals.

Request Routing Options​

You can add as many teams as you like.
Add “Other”When selected, the requesters can choose “Other” from the teams list. This assigns the request to all Administrators in your organization.
Make field mandatory on Request formsWhen selected, requesters must choose a team before they can submit the request.

Manage Request Form Fields​

Use the Manage request form fields settings to make specific request form fields:

  • Optional (default): Requesters can submit the work request even if the field isn't filled in.
  • Required: Requesters must fill in the field to submit the work request.
  • Hidden: The field doesn't appear in the work request form.

You can adjust this setting for the following fields.

  • Asset
  • Attachments
  • Description
  • Location
  • Priority
