About Locations

In MaintainX, a location is an entity that represents a physical place where your company operates.

  • Administrators and Full Users can create and manage locations for an organization. For more information, see Create a Location.
  • Administrators can generate reports to get insights into their organization’s locations. For details, see View and Export Location Data.

Important Location Concepts​

Here are some important concepts about locations.

Work Order Templates and Locations​

You can create work order templates for locations that need a specific work order setup.

A work order template is a reusable, preset format for a new work order. You can create templates with pre-populated values, hidden fields, and read-only information. After you create a work order template, users can create new work orders from that template rather than create them from scratch.

Sub-Locations​

A sub-location is a dependent, or child location of another location, called the parent location.

For example, your organization has a facility with several buildings on the same lot in Colorado. In MaintainX, your location’s name might be Denver Warehouse. A sub-location might be the inventory room in the Denver Warehouse location. Sub-locations are useful to structure your organization more granularly in MaintainX.

Locations and Other MaintainX Entities​

This section explains how Locations connect to other MaintainX entities.

Assets​

An asset is a piece of equipment in an organization. Locations are associated with assets. A location can have more than one asset linked to it. For example, if you set up a location for a warehouse, you might associate all the forklifts in the warehouse with that location.

The Asset Health feature monitors the availability of your assets, planned and unplanned downtime, etc. When you assign your assets to locations, the locations filter is a powerful way to gather insight about assets at a specific location.

Work Orders​

A work order is a document that details and records progress on a maintenance task. You can create work orders for maintenance at a location. For example, for plumbing repairs needed at a warehouse.

Teams​

A team is a group of users in MaintainX. You can associate one or more teams with a location. For example, the teams responsible for making sure the location is running as expected.

Meters​

A meter is a MaintainX entity that represents a real-world meter, or other device that records readings related to a location or an asset. In MaintainX, you can assign meters to locations.

For example, at your facility, there is a room that needs to stay above a specific temperature. You can set up a meter to know when the temperature of the room goes below a set value, and automatically create work orders to perform an inspection check and correct the temperature.

Vendors​

A vendor is a MaintainX entity that represents a company or person that provides assets, services or parts to an organization. You can associate a location with one or more vendors.
