Create an Import File

This article explains how to create a file to import data into MaintainX. You can either use a MaintainX import template (recommended) or create your own custom file.

Import File Requirements​

Import files must meet the following requirements:

  • .csv (Comma Separated Values)
  • .xls or .xlsx (Microsoft Excel)
File Size1000 rows or fewer.

If your file has more than 1000 rows, split it into multiple smaller files before importing.

Use a MaintainX Import Template​

The import process works best if you use one of MaintainX's import templates.

We recommend using templates because they:

  • Include all supported default fields with correct naming.
  • Format data according to MaintainX requirements.
  • Simplify the column mapping process during import.

To download an import template:

  1. From the sidebar, open the Settings menu and select General.

  2. On the General tab, navigate to the Import Data section and select the type of data you want to import (e.g., Assets).

    The import session screen opens.

  3. Select Download Template.

The asset import template downloads directly to your computer.

You can also open the import session screen from the + New {ENTITY} button in the module for the type of entity you want to import.

Create a Custom Import File​

If you don't use a MaintainX template to import your data, you can import from a custom file. For example, an export from an enterprise resource planning (ERP) or enterprise asset management (EAM) system.

Custom import files must meet the import file requirements.

When you upload a custom file, the importer tries to match the data in your file to the data MaintainX needs to create entities. For best results, the column names in your custom file should match the column names that MaintainX expects.
