Importing data into MaintainX helps you quickly set up or update your organization. You can import data files into MaintainX to bulk-create entities such as assets or parts.

This section explains how to prepare your data, upload it, and troubleshoot any issues during the import process.

How to Import Data​

To import your data into MaintainX, follow these steps:

  1. Create a file to import: Prepare your data using a MaintainX template or a custom file (e.g., data exported from another system).

  2. Upload the file: MaintainX processes your file and helps you:

    • Match columns to MaintainX fields.
    • Preview the data before importing.
    • Identify and fix any errors.
  3. Import the data: Complete the process to add the entities to your organization.

What You Can Import​

You can import data for the following MaintainX entities. See the linked articles for lists of fields you can import and entity-specific guidelines.

You can only import data for entity types that are included in your plan. For example, the Parts Inventory module is only available in the Premium plan or higher. If you're on the Basic or Essentials plan, you won't be able to import parts.

View and Manage Import History​

MaintainX keeps a record of all import sessions, which allows you to:

  • Review past imports.
  • See which users performed imports.
  • Undo recent imports if needed (within 24 hours), see Undo a Data Import Session.
