This article provides detailed information about importing locations into MaintainX® from a CSV or Microsoft Excel (XLS, XLSX) file using the built-in importer.

Location Fields You Can Import​

| Location name | Location Name | The name of the location. It can be up to 255 characters long. MaintainX can't import a location if this cell is blank. |
| Description | Description | A short description of the location. It can be up to 4096 characters long (approximately 500-700 words). Make sure to include all the relevant details for the location. |
| Address | Address | The physical address associated with the location in your MaintainX organization. |
| Responsible Teams | Responsible Teams | The teams responsible for maintaining assets at this location. A location can be associated with more than one team. You can separate multiple teams by using a pipe character ( |). For example: Team1 | Team2 | Team3. If you enter the name of a team that doesn’t exist in your MaintainX organization, MaintainX creates the team when it imports the locations, and associates the location with the new team. |
| Vendors | Vendors | The vendors associated with the location. A location can be associated with more than one vendor. You can separate multiple teams by using a pipe character ( |). For example: Vendor1 | Vendor2 | Vendor3. If you enter the name of a vendor that doesn't exist in your MaintainX organization, MaintainX creates the vendor when it imports the locations, and associates the location with the new vendor. |
Default Settings for Imported Locations​
When a location is imported:
- The location is set to Active by default.
- The location history indicates that the location was created by the user who imported the location data.
Troubleshoot Location Imports​
Location Import Errors: File Upload​
If MaintainX can't import your file, it displays an error message. The following table explains the errors you might encounter and suggests possible fixes.
| Error | Description | Fix |
|---|---|---|
| Locations import has <NUMBER> rows but you can only import 10,000 rows or less | The import file has more rows than the importer supports. | Split the import file into two or more smaller files, and import those. |
| Nothing to Import | None of the rows in the import file are valid. For example, you might have an invalid Location Name in every row. | Correct the errors and reimport the file. For more information about the format and column names MaintainX expects, see Location Fields You Can Import. |
Location Import Errors: Rows and Cells​
If MaintainX encounters an error, it might skip the affected row or remove only the invalid cell value and proceed with the import. MaintainX displays a warning when data is removed and displays error messages for those rows in the upload summary.
You can fix most errors directly in the import table before completing the import. Select any ignored cell to edit its value inline. If left unchanged, ignored rows and cells are skipped during import.
To review only the rows that need your attention, select Needs action above the import table. You can also use this filter to find any cells that were ignored due to invalid values.
Alternatively, you can do one of the following:
- Fix the errors in the import file and reimport it.
- Copy the rows with errors into a new import file, fix them, and import the new file.
The following table explains the errors you might encounter and suggests possible fixes.

| Location Name is required | The Location Name column (or equivalent) is missing or empty for this row. | Provide a location name. |
| Location Name must be 255 characters or less | The location name exceeds the maximum allowed length of 255 characters. | Shorten the location name to 255 characters or less. |
| Invalid value | The column value for this row doesn't match any of the possible values for the field in your organization. This can happen when the column is matched to a dropdown type custom field in your organization, but the column value does not match any of the dropdown values. | Change the value to an accepted value for the field in MaintainX. |
| Teams format error | The Responsible Teams field contains commas instead of pipe characters, or has an invalid format. | Use pipe characters (|) to separate multiple teams. Format: Team1 | Team2 | Team3. |
| Vendors format error | The Vendors field contains commas instead of pipe characters, or has an invalid format. | Use pipe characters (|) to separate multiple vendors. Format: Vendor1 | Vendor2 | Vendor3 |
