Edit a Work Order

This article explains how to edit a work order and bulk edit work orders.

Edit an Individual Work Order​

  1. From the sidebar, select Work Orders.
  2. Locate the work order you want to edit, and select it to view its details.
  3. In the work order details, select Edit.
  4. Update the work order fields as needed.
  5. Select Update to save the work order with your changes.

Work Order Fields​

This section describes the fields you can edit in a work order.

FieldDescription
What needs to be doneEnter a title for the work order. You can't create a new work order without a title.
The title can be up to 255 characters long.
Add or drag picturesAttach images to the work order.
Thumbnails of any images you attach appear here.
For details, see Attach Pictures.
DescriptionAdd a detailed description of the work to be done. The description can be up to 4096 characters long.
Estimated TimeAdd the approximate work time in hours and minutes to complete the work order.
ProcedureAdd procedures to the work order. You can also preview and edit them. For more information, see Create or Add a Procedure in a Work Order.
Assign toAssign the work order to one or more users or teams.
Due DateSet the date work is due to be completed.

After you set a Due Date, you can also set a Due Time.

Start DateSet the date the work is scheduled to start.

After you set a Start Date, you can also set a Start Time.

RecurrenceChoose the frequency (e.g., weekly, monthly, etc.) at which you want the work order to recur, or select Does not recur to make the work order a one-off (non-recurring).

If the work order is recurring other options appear to set up the repeating schedule.

Work TypeSpecify what kind of maintenance the work order for is:

  • Preventive
  • Reactive
  • Other
Usually, Preventive work orders are recurring, and Reactive work orders are non-recurring.
PrioritySet the priority for the work order.
LocationSpecify the location where the work will take place. You can choose from any of your organization's locations. A work order can only have one assigned location.

The location you choose should be the location associated with the asset specified in the Asset field. If the asset is associated with a different location, MaintainX sets the Location field to that location automatically.
AssetSpecify the asset to perform maintenance on. You can choose from any of your organization's assets. A work order can only have one assigned asset.
FilesAttach files to the work order. For details, and a list of supported file formats, see Attach Files.
PartsAdd the parts required to complete the work order. You can choose any part configured for your organization.
When you add a part, you must also specify the Amount Used.
CategoriesAssign one or more categories to the work order.
These can be built-in categories such as Safety or Standard Operating Procedure, or custom categories configured for your organization.
VendorsAdd one or more vendors to the work order. You can choose from any of your organization's vendors.

Bulk Edit Work Orders​

You can only bulk edit work orders in the MaintainX web application.

You can edit multiple work orders at the same time from the To-Do view or the Table view in the Work Orders module. You can change specific fields and perform specific operations on all the selected work orders.

To bulk edit work orders:

  1. From the sidebar, select Work Orders.

  2. Select (To-Do View) or (Table View).

  3. To select the work orders you want to bulk edit:

    1. Hover over the work order icon until a checkbox appears.
    2. Select the checkbox of the work orders you want to bulk edit.
  4. From the bulk editing options, select the operation you want to perform. For example, select Priority to change the priority for all the selected work orders.

  5. Select the new value you want to set for all of the selected work orders, for example High priority.

  6. Select Apply Changes to update the work orders.

Work Order Bulk Editing Operations​

The following describes the bulk editing operations you can perform on work orders.

Change Due Date

Do one of the following:

  • Select a new due date from the calendar. Then select Apply Changes to update the due dates for all the selected work orders.

  • Select Remove Due Date to remove the due date from all the selected work orders. When prompted, select Confirm.

    warning

    If you select Remove Due Date when you bulk edit work orders, the Recurrence for all selected work orders is set to Does not Repeat. I.e., any recurring work orders in the selection become non-recurring work orders.

  • Select Remove Start Date to remove the start date from all the selected work orders. When prompted, select Confirm.

Change Assignees
  1. From the Edit Assignees list, select any assignees you want to add, and deselect any assignees you want to remove.
  2. Select Apply Changes to make the change for all the selected work orders.
Change Categories
  1. From the Edit Categories list, select any categories you want to add, and deselect any categories you want to remove.
  2. Select Apply Changes to make the change for all the selected work orders.
Change Priorities
  1. From the Edit Priority list, select the priority to assign. You can only select one priority.
  2. Select Apply Changes to make the change for all the selected work orders.
Mark as Read

When prompted, select Confirm to mark all the selected work orders as read.

Delete Work Orders

When prompted, select Confirm to delete all the selected work orders.

Cancel Work Orders

Cancel the Work Orders​

  1. The Cancel selected work orders dialog opens.
  2. Add a comment and/or upload pictures or files.
  3. Select Submit to cancel all the selected work orders.
