Export a Work Order to PDF

This article explains how to export a single work order to PDF, and provides detailed descriptions of how MaintainX exports data.

You can also export multiple work orders to PDF or CSV (Excel) files. For more details, see Export Work Order Data.

  1. From the sidebar, select Work Orders.

  2. Locate the work order you want to export, and select it to view its details.

  3. On the work order details page, select (more options).

  4. Select Export to PDF.

  5. In the Export Work Order as PDF dialog box, select the export options:

    Images SizeSelect the rendered size of the images contained in the work order:
    • Small
    • Regular
    • Large
    • Original
    • File
    Procedure FormatSelect the amount of detail related to the work orders’ procedures you wish to see in your export:
    • Detailed: includes the values the user entered in the procedure fields with a timestamp and the name of the user.
    • Flags and Failures Only: only includes inspection checks marked as Flag and Fail answers in the work order's procedures.
    • None: includes all work orders without a procedure’s information.
    • Summary: includes all fields contained in a procedure with their answers.
    What should be included on this PDF?Select the information to include in the PDF:
    • Cost: includes the work order's cost information from the Time & Cost Tracking section of the work order.
    • Attachments: includes attachments added when creating or editing the work order. Attachments added in the Comments section are not included.
    • Comments: includes the comments and attachments added to the work order’s Comments section.
    • Work Order History: includes the work order history (or audit log). The work order history lists all system changes that appear in the work order's Comments section.
    • Estimated Time: includes the values of the Estimated Time fields of the work order.
    • Basic Information: includes the list of basic information to add to the PDF such as the work order status, type, description, categories, assignees, and the names of the asset, the parent asset, the location, and the parent location.
      • Location Address: includes the Location's Address field information.
      • Priority: includes the work order’s priority.
      • Work Order Information: includes the work order information such as the work order’s creator, creation date, and last updated date.
    • Export Information: includes export information, such as the date and time of the export and the name of the user who initiated the export.
    • Vendors: includes the list of vendors specified in the work order.
      • Contact Information: includes the vendor's contact information.
    • Signature Line: adds a signature and a date line to sign off on the work order.
    • Custom Fields: includes any custom work order fields to the export file.

    MaintainX work orders support custom fields. If your work orders include custom fields, your export options might include additional columns. Contact your Organization's MaintainX Administrator for details.

  6. Select Export. MaintainX saves the exported file to the download center, and a download notification appears.

  7. From the download notification, you can do any of the following:

    • Download the exported file.
    • Open the export in a new browser tab.
    • Select View in Download Center to open the download center. The exported file appears in the Export Request History section.
