Edit an Asset

This article describes how to edit an asset, bulk edit assets and update an asset’s status.

Edit Asset Fields​

  1. From the sidebar, select Assets.

  2. Select the asset you want to edit.

  3. On the asset details page, select Edit.

  4. In the asset form, edit the fields as needed.

  5. When ready, select Update.

The asset is updated.

Asset Form Fields​

Assets form fields define the properties of an asset. The following table describes each of the fields in the asset form.

FieldDescription
NameThe name of the asset. It can be up to 255 characters long.

You cannot create an asset without a name.
PicturesAttach or drag photos of the asset.

In the mobile app, you can take photos with your device’s camera, or choose existing photos on the device.

In the web app, you can choose any photos on your computer.
Files Attach photos or files to the asset.

In the mobile app, you can choose existing files or photos on your device.

In the web app, you can choose any files or photos on your computer.
LocationThe location associated with the asset.

This is a MaintainX entity that represents a physical place. For example, a facility, or a building in a compound facility.

You can create new locations from the asset form.
CriticalityHow critical the asset is to your organization.

You can set this to Critical, Important, or Normal.
DescriptionA short description of the asset. It can be up to 4096 characters long (roughly 500 to 700 words).

Make sure to include all the relevant details for the asset.
Serial numberThe serial identification number of the asset.

Serial number is a custom field that appears in the asset form by default. For more information, see Create a New Custom Field.
ModelThe model name or model number of the asset.

Model is a custom field that appears in the asset form by default. For more information, see Create a New Custom Field.
ManufacturerThe name of the manufacturer of the asset.

Manufacturer is a custom field that appears in the asset form by default. For more information, see Create a New Custom Field.
YearThe model year of the asset.

Year is a custom field that appears in the asset form by default. For more information, see Create a New Custom Field.
Teams in chargeYou can assign teams from your organization to the asset. That indicates that those teams are responsible for taking care of the asset's maintenance.
QR Code/BarcodeBarcode or QR Code used to identify the asset.

You can enter the alphanumeric code manually or generate the code. In the mobile app, you can scan the code to add it to the asset.

Asset TypeA text field to label the assets into types. This field can be used for filtering and reporting.

VendorsThe name of the vendor(s) associated with the asset.

You can choose any vendor(s) you created in your organization through the Vendors module.
PartsOne or more parts that assets require to be operational.

You can choose from the available parts in your organization.
Parent AssetSpecify a parent asset for this asset. This asset becomes a sub-asset of the parent.

Bulk Edit Assets​

You can only bulk edit assets in the web app. The fields you can bulk edit depend on your plan.

You can bulk edit assets to change fields such as Location, Criticality, and Status.

  1. From the sidebar, select Assets.

  2. Select (Split View) or (Table View).

  3. To select the assets you want to bulk edit:

    1. Hover over the icon of each asset you want to edit until a checkbox appears.
    2. Select the checkbox.
  4. Select the fields you want to edit, for example Location or Criticality.

  5. When prompted, select Confirm to edit the assets.

Update an Asset's Status​

Asset status is only available in Premium and Enterprise plans. For more information, contact your MaintainX Account Manager.

  1. From the sidebar, select Assets.

  2. Select the asset whose status you want to edit to display its details.

  3. On the asset details page, go to the Status & Reliability section and select a new status for the asset. The Update Asset Status dialog opens.

  4. When prompted, update the appropriate fields. These vary depending on whether you chose an Online, Offline, or Do Not Track status.

  5. Select Update Status.

The asset status is updated.
