Asset Settings

This article describes the settings and preferences that you can use to customize assets, and how you work with them.

Set Asset Preferences

  1. From the sidebar, select Settings > Features.

  2. Navigate to the Assets section and select Set Preferences.

  3. From the Asset Preferences tab, select one of the following options to customize assets.

Auto-Generate Barcodes

Toggle this option to automatically generate a QR code when you create an asset. When you scan the code with a compatible device camera, it refers directly to the asset it's linked to. For example, when creating a work order for the asset, you can scan the code instead of selecting the asset from the asset list. For more information, see About QR codes and Barcodes.

Asset Types

Both Full Users and Administrators can create, edit and delete asset types.

Asset types are customizable labels that you can use in the Asset form to specify what type of asset a piece of equipment is. You can use labels to organize your assets. For example, if you have different types of trucks in your organization, you might create "Truck" as an asset type.

You can assign more than one asset type to an asset. You can create, edit and delete asset types. You can also search for asset types on the Asset Types page.

Create an Asset Type

  1. Select Create Asset Type.
  2. Add your asset type name.
  3. Select Create.

Edit an Asset Type

  1. Go to the asset type you want to edit, and select (More options).
  2. Select Edit Asset Type.
  3. Update the asset type as needed.
  4. Select Update.

Delete an Asset Type

  1. Go to the asset type you want to delete, and select (More options).
  2. Select Remove Asset Type.
  3. When prompted, select Delete to confirm the deletion.

We recommend implementing a consistent naming convention for your asset type labels. It should be concise and simple to organize. Using consistent naming conventions across your entire organization establishes an efficient way to find assets. For example, if you have assets for specific emergency tasks in your organization, you may create a type called “Emergency” and label those assets as with it.

Customize Asset Fields

You can add custom fields to your assets to add extra information. You can rename them, customize them to have different values, and delete them. The Customize Asset Fields page lists all your organization’s custom asset fields.

Some default asset form fields are actually custom fields that you can modify or remove. For example, Manufacturer and Serial Number are both custom fields.

Create a New Custom Field

  1. Select + Add Another Custom Field.

  2. Add a name for the field.

  3. Select the type of the field. The field can be:

    Asset field typeDescription
    Single Line TextA one line text field. It can be up to 4096 characters long (about 500-700 words).
    Multi Line TextA text box field. It can be up to 4096 characters long (about 500-700 words).
    NumberFor numerical values.
    Single SelectCreate a list of values to make a list to choose from.

    Date & TimeDate and time.
    LinkA hyperlink to select.
  4. Select Create.

Reorder Custom Asset Fields

To change the order of the custom fields, drag the icon (Reorder) to move a field up or down.

Rename an Asset Field

To rename a custom asset field, select its current name to make it editable, and change it as needed.

Make a Custom Field Mandatory

Available for Enterprise plans. For more information, contact your MaintainX Account Manager.

Select the Make this field required option to make the asset field mandatory when a user creates a new asset.

Change the Type of an Asset Field

Choose from the list to change the type of your asset field:

Delete an Asset Field

To delete an asset field, select the (Trash can) icon next to the field you want to delete.

Asset Status

Available for Premium and Enterprise plans. For more information, contact your MaintainX account manager.

Asset statuses represent the state of your assets. Select Asset Status to create custom asset statuses. Custom statuses specify reasons for your Online, Offline and Do Not Track statuses. These can be used for reporting, see About Asset Health Reports.

Create a Custom Asset Status

  1. On the status you want to create a reason for, select + New [STATUS TYPE] Reason.
  2. When prompted, add your reason or label.
  3. Select Create.

Edit a Custom Asset Status

  1. Go to the custom status you want to edit, and select (More options).
  2. Select Edit Custom Status.
  3. Make the desired changes.
  4. Select Edit.

Delete a Custom Asset Status:

  1. Go to the custom status you want to delete, and select (More options).
  2. Select Remove Custom Status.
  3. When prompted, select Delete to confirm the deletion of the custom status.

We recommend implementing a consistent naming convention for your custom assets statuses. It should be concise and simple to organize. Using consistent naming conventions across your entire organization establishes an efficient way to find assets. For example, an offline status can have the reason of “Electrical fault”. This can give insight when reporting and looking at reasons why assets went offline.
