Build a Custom Report with AI

Report Builder AI can generate custom reports from a simple prompt, eliminating the need to manually select datasets, filters, or visualizations. Describe the information you want and Report Builder AI builds the report for you. For details, see Report Builder AI.

Report Builder AI also includes a built-in chat experience that lets you refine your reports and continue exploring your data. After generating a report with Report Builder, you can ask follow-up questions, modify the report, or request additional insights without starting over. For details, see Report Builder AI Chat.

Report Builder AI is subject to functional limitations that impact how data can be filtered, calculated, or presented. For details, see Report Builder's Known Limitations.

AI-generated reports may include errors. Make sure to review the report's content before sharing.

Build a Report with Report Builder AI​

  1. From the sidebar, select Reporting.

  2. In the Reporting module, select + Build report.

  3. In the Ask MX Assist anything... field, enter a prompt. For details, see Guidelines for Writing Effective Report Prompts.

  4. [Optional] Select (Add context) to select the entity you need a report on:

    • Asset
    • Work Order
    • Part
    • Location

    You can also use MaintainX®' suggested prompts to get you started with Report Builder AI.

  5. Select (send). Report Builder AI:

    • Analyzes the prompt.
    • Searches for data.
    • Depending on your first prompt, asks follow-up questions.
    • Generates a report.

  6. Select Run analysis to open the Report Builder preview, then do any of the following:

    • Select Edit in Builder to open Report Builder. You can review the data pulled and edit the report. For details, see Manually Edit an AI-Generated Report.
    • Ask additional questions about the data to adjust the generated report to your needs.
    • Select Save to Dashboard to add the generated report to a new or existing dashboard. For details, see Share a Custom Report.
Leaving the Reporting module while chatting

If you try to navigate to a different module while a Report Builder AI Chat is open, MaintainX asks you to confirm:

  • Keep chatting: to stay in Reporting and keep the chat open.
  • Discard: to close the chat and navigate to the module you selected.

Report Builder AI doesn't keep conversation history. Once you close the chat, you can't access previous conversations.

Refine an AI-Generated Report​

After Report Builder AI generates a report, you can refine it in one of two ways:

  • Edit the report manually in Report Builder.
  • Ask follow-up questions in the AI Chat.

Manually Edit an AI-Generated Report​

You can edit an AI-generated report just like any other custom report. For example, you can change the visualization, dataset, aggregations, filters, or formulas used to build the report.

Ask Follow-Up Questions in the AI Chat​

After Report Builder AI generates a report, you can continue the interaction by asking follow-up questions or requesting changes to refine the report. For more information, see Ask Follow-Up Questions in Report Builder.

Learn more about a custom report

After saving the custom report to a dashboard, you can still learn more about it. Simply open the dashboard with the custom report, and select (Ask AI about this chart). For details, see Ask Follow-Up Questions in the Dashboards Module.
