The Operator User Role

An Operator is a MaintainXยฎ user role for front-line workers who need to complete assigned work and report problems, but don't manage maintenance operations. For example:
- Machine operators
- Production floor staff
- Facility workers
Operators' work is based on assets, not a work order queue. They see only the work orders assigned to them, linked to the assets they operate. For example, a forklift operator might have work orders assigned for a before-shift checklist and an after-shift checklist.
Operators vs. Other MaintainX User Rolesโ
Operator role permissions sit between Full User and Requester permissions.
- Full Users can create, edit, and manage work orders. Operators can only act on work orders assigned to them.
- Requesters can only submit work requests. Operators can submit requests, but can also complete work orders.

Add Operator Seats to Your Organizationโ
To add the Operator role to your organization, contact your MaintainX representative. Once the Operator role is enabled, you can add Operators to your organization in the following ways:
- When you invite a new user to your organization, set the Account Type to Operator.
- Ask your MaintainX representative to import Operator users into your organization.
Administrators can't change an Operator's role to another role. For example, you can't upgrade an Operator to a Full User or downgrade one to a Requester. To change the role for an Operator, contact your MaintainX representative.
The MaintainX Operator Experienceโ
Operators work mainly from their mobile device or a shared device in workstation mode. They see a pared down version of the MaintainX mobile application interface, focused on the assets they're responsible for.
When logged in, Operators see and interact with work orders assigned to them. They can also create work requests if needed. They don't have access to the broader work order queue, asset management, reporting, or administrative settings.
Work Order Quotaโ
Operators have a daily quota on the number of work orders they can work on. The first interaction with a work order counts against the quota. Subsequent interactions on the same work order do not.
The following actions count as an interaction:
- Changing work order status
- Completing procedure steps
- Using MaintainX Assist
For example, if the daily quota is two work orders, an operator who changes a work order's status to In Progress has used one of their two. They can then complete procedures, leave comments, and close the work order without affecting the quota further. Opening a second work order uses the remaining quota. Additional work orders are blocked until the quota resets the following day.
MaintainX displays a notification that tells Operators how much of their daily quota they've used. For example:
You have completed 2/2 work orders today. Inform your manager.
Change the Interaction Quotaโ
The default daily interaction quota is 2. To change your organization's quota, contact your MaintainX representative.
