This article explains how to export time & cost tracking data to CSV (Excel), and provides detailed descriptions of how MaintainX exports data.
Export Time & Cost Tracking Data​

From the sidebar, select Reporting.

In the Reporting module, go to the Export Data tab.

Select Time & Cost Tracking.

In the Time & Cost Tracking section, set the following options:
Option Description Date Range Use the date picker to set the date range for the export. Export Format Select CSV (Excel). Export Type Select one of the following export types: - Grouped by User: List all time and cost entries, grouped by user, in the date range.
- Individual Entries: List all time and cost entries in the specified date range.
If you choose Grouped by User, time & cost tracking data are organized by users. Each line contains data related to one specific user.
If you choose Individual Entries, time & cost tracking data are organized by work orders. Each line contains data related to one specific work order.Columns Select the columns to include in the export. For details about each column, see List of Time & Cost Tracking Columns. -
Do one of the following:
- Select Schedule to export the data on a regular schedule. For details, see Scheduled Data Exports.
- Select Export to export the data right away. MaintainX saves the exported file to the download center, and a download notification appears.

If you selected Export in the previous step, from the download notification you can do any of the following:
- Download the exported file.
- Select View in Download Center to open the download center. The exported file appears in the Export Request History section.
List of Time & Cost Tracking Columns​
- Grouped by User
- Individual Entries
Column | Description |
---|---|
User ID | The user's unique identification number in the MaintainX organization. |
User Name | The name of the user who logged the time or cost entry on the work orders. |
Open Work Order Time (hours) | The hours logged on work orders in Open, On Hold, or In Progress status. |
Open Work Order Time Costs | The cost associated with time logged on the work orders in Open, On Hold, or In Progress status. |
Open Work Order Other Costs | The total Other Cost added to the work orders in Open, On Hold, or In Progress status. |
Open Work Order Total Costs | The total cost of the work orders in Open, On Hold, or In Progress status. |
Closed Work Order (hours) | The total time logged on the work orders in Done status. |
Closed Work Order Time Costs | The cost associated with time logged on the work orders in Done status. |
Closed Work Order Other Costs | The total Other Cost added to the work orders in Done status. |
Time (hours) | The total time logged on the work orders by the user. |
Total Cost | The total cost (time and other costs) added to the work orders by the user. |
Column | Description |

Work Order Title | The name of the work order in MaintainX. |
Work Order ID | The work order’s unique identification number in the MaintainX organization. |
User | The name of the user associated with the work order’s time or cost entry. |
Creator | The name of the user who logged/created the work order’s time or cost entry. |
Created On | The creation date and time of the work order’s time or cost entry. |
Type | The type of the entry:

Cost | The cost associated with the entry. |
Cost Type | The cost category. |
Custom Type | The custom cost type. |
Time Type | The time type added by the user to the work order. |
Description | The description of the cost or time entry. |
Time (hours) | The time logged for the entry. |
Hourly Rate | The user’s hourly rate. |
