Time & Cost Tracking Exports

This article explains how to export time & cost tracking data to CSV (Excel), and provides detailed descriptions of how MaintainX exports data.

Export Time & Cost Tracking Data​

  1. From the sidebar, select Reporting.

  2. In the Reporting module, go to the Export Data tab.

  3. Select Time & Cost Tracking.

  4. In the Time & Cost Tracking section, set the following options:

    OptionDescription
    Date RangeUse the date picker to set the date range for the export.
    Export FormatSelect CSV (Excel).
    Export TypeSelect one of the following export types:
    • Grouped by User: List all time and cost entries, grouped by user, in the date range.
    • Individual Entries: List all time and cost entries in the specified date range.


    If you choose Grouped by User, time & cost tracking data are organized by users. Each line contains data related to one specific user.

    If you choose Individual Entries, time & cost tracking data are organized by work orders. Each line contains data related to one specific work order.
    ColumnsSelect the columns to include in the export. For details about each column, see List of Time & Cost Tracking Columns.
  5. Do one of the following:

    • Select Schedule to export the data on a regular schedule. For details, see Scheduled Data Exports.
    • Select Export to export the data right away. MaintainX saves the exported file to the download center, and a download notification appears.
  6. If you selected Export in the previous step, from the download notification you can do any of the following:

    • Download the exported file.
    • Select View in Download Center to open the download center. The exported file appears in the Export Request History section.

List of Time & Cost Tracking Columns​

ColumnDescription
User IDThe user's unique identification number in the MaintainX organization.
User NameThe name of the user who logged the time or cost entry on the work orders.
Open Work Order Time (hours)The hours logged on work orders in Open, On Hold, or In Progress status.
Open Work Order Time CostsThe cost associated with time logged on the work orders in Open, On Hold, or In Progress status.
Open Work Order Other CostsThe total Other Cost added to the work orders in Open, On Hold, or In Progress status.
Open Work Order Total CostsThe total cost of the work orders in Open, On Hold, or In Progress status.
Closed Work Order (hours)The total time logged on the work orders in Done status.
Closed Work Order Time CostsThe cost associated with time logged on the work orders in Done status.
Closed Work Order Other CostsThe total Other Cost added to the work orders in Done status.
Time (hours)The total time logged on the work orders by the user.
Total CostThe total cost (time and other costs) added to the work orders by the user.
