Part Exports

This article explains how to export part data to CSV (Excel) or PDF, and provides detailed descriptions of how MaintainX exports data.

Export Part Data​

  1. From the sidebar, select Reporting.

  2. In the Reporting module, go to the Export Data tab.

  3. Select Parts.

  4. Select any filters you want to apply. For more information, see Available Part Filters.

  5. In the Export Format section, select the file export format. Depending on the format you select, different export options are available:

    OptionDescription
    Include only Parts that need restockCheck the option box to only export the list of parts needing restock.

    The list contains parts which are below their minimum accepted value in stock.
    ColumnsSelect the columns to include in the export file. For more details about each column, see List of Part Export Columns.
  6. Do any of the following:

    • Select Schedule to export the data on a regular schedule. For details, see Scheduled Data Exports.
    • Select Export to export the data right away. MaintainX saves the exported file to the download center, and a download notification appears.
  7. If you selected Export in the previous step, from the download notification you can do any of the following:

    • Download the exported file.
    • Open the export in a browser new tab. This option is only available for PDF files.
    • Select View in Download Center to open the download center. The exported file appears in the Export Request History section.

Available Part Filters​

FilterDescription
Needs RestockShows parts based on their stock situation:
  • Needs Restock
  • In Stock
  • Stock
Part TypesShows parts based on their type.
LocationShows parts based on their location.
AssetShows parts based on their asset.
VendorShows parts based on their vendors.
AreaShows parts based on their area.
Teams in ChargeShows parts based on the teams responsible for taking care of them.
Work Order RecurrenceShows parts that are part of a recurring Work Oder (reserved) or not.

List of Part Export Columns​

ColumnDescription
IDThe part’s unique identification number in the MaintainX organization.
AreaThe area within a location where the part is located.

For example, a bin number, or an aisle number.
AssetsThe assets associated with the part.
QR/BarcodeBarcode or QR Code used to identify the part.
DescriptionThe description of the part.
LocationThe location associated with the part.

This is the location where the part is stored.
NameThe name of the part.
Part NumbersThe vendor’s ordering part number.
Teams Assigned ToThe team(s) assigned to the part.
ThumbnailThe internal link to the thumbnail associated with the part.
TypesThe type(s) of the part.
URLThe part’s internal URL.

Only users logged in to MaintainX can access a part with this URL.
Minimum QuantityThe minimum number of parts that should be in the inventory.

Parts with a Critical part type trigger a notification to the assigned Escalation Team when the minimum quantity is reached.
QuantityThe quantity of the part in inventory.
Reserved QuantityThe quantity of the part reserved for upcoming maintenance tasks.
Ordered QuantityThe quantity of the part the user ordered through active Purchase Orders.
Unit CostThe unit cost of the part.
Total CostThe total cost of the part.

The total cost is calculated by multiplying the following values:

Unit Cost x Quantity.
VendorsThe name of the vendors associated with the part.
Created byThe name of the user who created the part.
Created onThe date and time the part was created.
Last updatedThe date and time the part was last updated.
Unique IdentifierThe value to identify the part.

This value is extracted from a field that is used to map parts between your organization and MaintainX. The value can be any value in the Part Number field or any custom field previously defined by your organization.
