Asset Exports

This article explains how to export asset data to CSV (Excel) or QR Codes (PDF), and provides detailed descriptions of how MaintainX exports data.

Export Asset Data​

  1. From the sidebar, select Reporting.

  2. In the Reporting module, go to the Export Data tab.

  3. Select Assets.

  4. Select any filters you want to apply. For more information, see Available Asset Filters.

  5. In the Export Format section, select the file export format. Depending on the format you select, different options are available:

    ColumnsSelect the columns to include in the export file. For more details about each column, see List of Asset Export Columns.
  6. Do one of the following:

    • Select Schedule to export the data on a regular schedule. For details, see Scheduled Data Exports.
    • Select Export to export the data right away. MaintainX saves the exported file to the download center, and a download notification appears.
  7. If you selected Export in the previous step, from the download notification you can do any of the following:

    • Download the exported file.
    • Open the export in a browser new tab. This option is only available for PDF files.
    • Select View in Download Center to open the download center. The exported file appears in the Export Request History section.

List of Asset Export Columns​

ColumnDescription
NameThe name of the asset.
IDThe asset’s unique identification number in the MaintainX organization.
StatusThe status of the asset:
  • Online: the asset is working as expected
  • Offline: the asset is not operational, usually for planned or unplanned maintenance.
  • Do Not Track: do not track the asset's uptime/downtime.
ParentThe parent asset associated with the asset.
LocationThe location associated with the asset.
Parent LocationThe location of the parent asset associated with the asset.
TypesThe type(s) of the asset.
URLThe asset’s internal URL.

Only users logged in to MaintainX can access an asset with this URL.
DescriptionThe description of the asset.
QR/BarcodeBarcode or QR Code used to identify the asset.
Teams Assigned toThe team(s) assigned to the asset.
VendorsThe name of the vendors associated with the asset.
Vendor IDsThe unique identification number of the vendors associated with the asset.
Created byThe name of the user who created the asset.
Created onThe creation date and time of the asset.
Last updatedThe date and time the asset was last updated.
ThumbnailThe internal link to the thumbnail associated with the asset.
CriticalityThe criticality of the asset.

The criticality specifies whether the asset is Critical, Important or Normal for your organization. Criticality can be used for filtering and reporting.
Location AddressThe address of the location associated with the asset.
AttachmentsThe internal URL to the attachments associated with the asset.

Only users logged in to MaintainX can access attachments with this URL.
Serial NumberThe asset's serial number.
ModelThe asset’s model.
ManufacturerThe asset’s manufacturer.
YearThe asset’s year.

Available Asset Filters​

Use filters to control which assets to display. You can filter by most asset properties. For example to only see assets with a specific status or type.

Asset TypesShows assets based on their type.

A type acts as a label for an asset. A type acts as a label for an asset. An asset can have more than one type. Types can help you organize assets in your organization. You can create and customize them.
CriticalityShows assets based on their criticality.

Criticality is a measure of how important an asset is to your company.
DescriptionShows assets based on their description.
Downtime ReasonShows assets based on their current downtime reason.
Downtime TypeShows assets based on their planned or unplanned current downtime type.
LocationShows assets based on their location.

An asset can be associated with a location. In MaintainX, a location represents a physical place where your company operates. For example, a location could be a site, or one building in a compound.
ManufacturerShows assets based on their manufacturer.
ModelShows assets based on their model.
PartShows assets based on their part.

An asset can be linked to multiple parts. Parts are consumable pieces used by assets, or items used for maintenance on an asset. For example, in a car wash, an industrial light can be an asset. A part linked to this asset is a fluorescent bulb.
ProcedureShows assets based on the procedure they are attached to.
Serial NumberShows assets based on their serial number.
StatusShows assets based on their current status.

An asset’s status represents the state of the asset. An asset in MaintainX can have the following statuses:
  • Online: the asset is working as expected
  • Offline: the asset is not operational, usually for planned or unplanned maintenance.
  • Do Not Track: do not track the asset's uptime/downtime.
Teams in ChargeShows assets based on the teams assigned to them.

An asset can be assigned to multiple teams. These teams are responsible for the maintenance work for that asset.
VendorShows assets based on the vendors assigned to them.

A vendor represents a company or person that provides assets, parts, or services to your organization. An asset can be associated with multiple vendors.
Work Order RecurrencyShows assets based on their work order recurrence if they are attached to repeating work orders.
YearShows assets based on their year.
