Asset Status Exports

This article explains how to export a list of asset status changes that occurred within a specific date range to a CSV (Excel) file, and provides detailed descriptions of how MaintainX exports data.

Export Asset Status Data​

  1. From the sidebar, select Reporting.

  2. In the Reporting module, go to the Export Data tab.

  3. Select Asset Status.

  4. Select any filters you want to apply. For more information, see Available Asset Status Filters.

  5. In the Export Asset Status List section, set the following options:

    OptionDescription
    Date RangeUse the date picker to set the date range for the export.
    Export FormatSelect CSV (Excel).
    ColumnsSelect the columns to include in the export file. For more information, see List of Asset Status Export Columns.
  6. Do one of the following:

    • Select Schedule to export the data on a regular schedule. For details, see Scheduled Data Exports.
    • Select Export to export the data right away. MaintainX saves the exported file to the download center, and a download notification appears.
  7. If you selected Export in the previous step, from the download notification you can do any of the following:

    • Download the exported file.
    • Select View in Download Center to open the download center. The exported file appears in the Export Request History section.

List of Asset Status Export Columns​​

ColumnDescription
IDMaintainX assigns a unique identification number to each asset status.

When an asset status changes, MaintainX generates a new unique identification number.
StatusThe status of the asset:

  • Online: the asset is working as expected
  • Offline: the asset is not operational, usually for planned or unplanned maintenance.
  • Do Not Track: do not track the asset's uptime/downtime.
Custom StatusThe custom status added to specify the reason behind a change of status.

Custom statuses specify reasons for your Online, Offline, and Do Not Track statuses. For example, you can add the custom status Need Repair to an asset with an Offline status. For details, see Create a Custom Asset Status.
Downtime TypeThe downtime type used to differentiate unplanned and planned downtime.
Started AtThe date and time the current asset status was applied.

If the asset status is scheduled, the date and time scheduled displays. Otherwise, this cell displays the Created on value.
Ended AtThe date and time the asset was changed from the previous to the next status.

Depending on whether the asset's status changed, the Ended At value is calculated as follows:

Started At + Duration if the status changed before the export.

If the status doesn't change between the Started At time and the time you export the data, this cell displays Current.
DurationThe amount of time the asset had a status.

Depending on whether the asset's status changed, the duration is calculated as follows:

Ended At - Started At, if the status changed before the export.

Time of the export - Started At, if the status is still active.
NoteThe note added by the user who changed the asset status.
Created byThe MaintainX username of the user who changed the asset status.
Created onThe date and time the user applied the asset status update change in MaintainX.
Asset IDThe asset’s unique identification number in the MaintainX organization.
Asset NameThe name of the asset in the Assets module.

Available Asset Status Filters​​

Use filters to control which asset status changes to export. You can filter by most asset properties. For example to only see assets with a specific status or type.

Annual DepreciationIncludes or excludes assets based on their annual depreciation value.
AssetIncludes or excludes specific assets from the export.
Asset TypesIncludes or excludes assets based on their type.

A type acts as a label for an asset. An asset can have more than one type. Types help you organize assets in your organization. You can create and customize them.
CriticalityIncludes or excludes assets based on their criticality.

Criticality is a measure of how important an asset is to your company.
DescriptionIncludes or excludes asset status based on whether they have a description or a specific term attached.
Downtime ReasonIncludes or excludes assets based on their current downtime reason.
Downtime TypeIncludes or excludes assets based on the unplanned or planned downtime type of their current status.
LocationIncludes or excludes assets based on their location.

An asset can be associated with a location. In MaintainX, a location represents a physical place where your company operates. For example, a location could be a site, or one building in a compound.
ManufacturerIncludes or excludes assets based on their manufacturer.
NotesIncludes or excludes asset status based on whether they have notes added by the user who changed the asset status.
ModelIncludes or excludes assets based on their model.
PartIncludes or excludes assets based on their parts.

An asset can be linked to multiple parts. Parts are consumable pieces used by assets, or items used for maintenance on an asset. For example, in a car wash, an industrial light can be an asset. A part linked to this asset is a fluorescent bulb.
Purchase DateIncludes or excludes assets based on their purchase date.
Purchase PriceIncludes or excludes assets based on their purchase price.
ProcedureIncludes or excludes assets based on whether they are attached to specific procedures.
Replacement CostIncludes or excludes assets based whether they have a replacement cost.
Serial NumberIncludes or excludes assets based on their serial number.
StatusIncludes or excludes assets based on their current status.

An asset’s status represents the state of the asset. An asset in MaintainX can have the following statuses:
  • Online: the asset is working as expected
  • Offline: the asset is not operational, usually for planned or unplanned maintenance.
  • Do Not Track: do not track the asset's uptime/downtime.
Teams in ChargeIncludes or excludes assets based on the teams assigned to them.

An asset can be assigned to multiple teams. These teams are responsible for the maintenance work for that asset.
VendorIncludes or excludes assets based on the vendors assigned with them.

A vendor represents a company or person that provides assets, parts, or services to your organization. An asset can be associated with multiple vendors.
VIN NumberIncludes or excludes asset based on their vehicle identification number (VIN).
Warranty End DateIncludes or excludes based on whether they have a warranty end date.
Work Order RecurrenceIncludes or excludes assets based on whether they are attached to repeating work orders.
YearIncludes or excludes assets based on their model year.
