Merge Procedures into a Global Procedure
This article explains how to merge a selection of local and global procedures into a single global procedure shared across your sub-organizations.
From a Global Organization, you can merge selected procedures into an existing global procedure or a new global procedure.
Merging procedures helps streamline operations and promote standardization across sub-organizations.
- Procedures are consistently defined and accessible organization-wide.
- Teams across your sub-organizations follow the same operational guidelines.
By maintaining a single, unified version of a procedure, you can improve efficiency, and support compliance across different sites.
What Happens to MaintainX Entities When You Merge Procedures?​
When you merge procedures in the Global Organization, certain changes occur in different entities across your organization, such as:

Completed Work Orders | No update. |
Work Order Templates | Work order templates that reference the old procedures automatically update to use the new merged procedure. |
Procedure Locations | All associated locations automatically update to point to the new procedure. |
Procedures with Variables | Variables such as meter readings or custom fields might reset or clear after you merge the procedures. You have to manually reassign values to those variables, either in the Global Organization or in the sub-organizations. |
Assets Linked to Procedures | Assets that were linked to the old procedures automatically update to link to the new global procedure. |
Future Recurrences of Work Orders | All future work orders in a recurring chain automatically use the new merged procedure. |
Merge Procedures Into a Global Procedure​

In the Global Organization, from the sidebar, select Procedure Library.

Hover over a procedure's icon until a checkbox appears.

Select the checkbox of each procedure you want to merge. They can be local or global procedures.

Select the (merge) icon.

When prompted, in the Replace with field, select the primary procedure you want your selected procedures to merge into. It can be:
- An existing global procedure.
- A local procedure that will convert into a global procedure during the merging process.

Select Merge Procedures.

When prompted, select Merge to confirm.
The new global procedure is created and is shared across all your sub-organizations.
