Manage Global Procedures in Bulk

This feature is only available in the MaintainX® web application for Enterprise accounts. To use it, you must have a Global Leader user role. For details, see Global Leader.

Global Leaders can publish multiple procedures, including nested procedures, in bulk from their Global Organization. Instead of publishing procedures one at a time, you can select several procedures and publish them in a single action to share them across your sub-organizations.

This article explains how to:

  • Bulk publish procedures and share them at the same time.
  • Re-publish updated procedures in bulk.
  • Bulk un-publish procedures.

Bulk publishing saves you time and effort when managing large procedure libraries, and makes it easier to standardize procedures across sub-organizations. You can can roll out updates faster, reduce manual work, and ensure that global procedures are adopted consistently across the enterprise.

Bulk Publish and Share Global Procedures​

You can select up to 50 global procedures at a time to publish in bulk. Nested procedures are not included in the limit. For example, a global procedures with two nested procedures will count as one global procedure. For more information, contact your MaintainX representative.

To publish and share global procedures in bulk:

  1. From the sidebar, select the organization picker.

  2. In the Global Organization section, select the global organization.

  3. Select Procedure Library. The procedure library opens.

    • (Optional) Select the Panel view icon or the Table view icon to switch to the view.

      tip

      We recommend using the Table view because you can quickly see the number of organizations each procedure is shared with.

  4. Hover over a procedure's icon until a checkbox appears. Then select the checkbox of each procedure you want to share with the selected sub-organizations.

  5. Select Manage assignments.

  6. In the Manage assignments dialog box, select the sub-organizations you want to share the global procedures with.

    • (Optional) For quick access, you can search the sub-organization name in the search bar in the dialog.
    • (Optional) Select Add automatically to new organizations to automatically include new sub-organizations when sharing procedures.
    • (Optional) Select View Details on a sub-organization to view the procedures that are already shared or will be shared with that organization.
  7. Select Next.

  8. Select Publish. The Task Center dialog box opens.

    The Task Center lets you monitor the progress of publishing and sharing Global Procedures and alerts you if the process fails.

Your global procedures are shared with the sub-organizations you selected.

Bulk Unpublish Global Procedures​

When you unpublish global procedures from selected sub-organizations, you can no longer select them in newly created work orders. Any active work orders (open or in progress) that already use the global procedures will keep them.

To unpublish global procedures in bulk:

  1. From the sidebar, select the organization picker.

  2. In the Global Organization section, select the global organization.

  3. Select Procedure Library. The procedure library opens.

    • (Optional) Select the Panel view icon or the Table view icon to switch to the view.

      tip

      We recommend using the Table view because you can quickly see the number of organizations each procedure is shared with.

  4. Hover over a procedure's icon until a checkbox appears. Then select the checkbox of each procedure you want to unpublish to the selected sub-organizations.

  5. Select Manage assignments.

  6. In the Manage assignments dialog box, unselect the sub-organizations you want to unpublish the global procedures from.

  7. Select Next.

  8. Select Publish. You'll see the progress of the procedures in the Task Center dialog box.

The selected global procedures are unpublished in the sub-organizations you selected.

Bulk Re-publish Global Procedures​

In some situations, you might want to republish multiple procedures from your Global Organization to sub-organizations that already have them. For example, after updating procedure details or steps.

To publish global procedures in bulk:

  1. From the sidebar, select the organization picker.

  2. In the Global Organization section, select the global organization.

  3. Select Procedure Library. The procedure library opens.

    • (Optional) Select the Panel view icon or the Table view icon to switch to the view.

      tip

      We recommend using the Table view because you can quickly see the number of organizations each procedure is shared with.

  4. Hover over a procedure's icon until a checkbox appears and select the checkbox of each procedure you want to publish.

  5. Select Publish. You'll see the progress of the procedures in the Task Center dialog box.

The selected global procedures are published to their existing sub-organizations.
