New Articles

Part Statuses and Part Availability

Part statuses and part availability are now generally available. Part statuses let you track parts through a standardized workflow: Assigned, Reserved, Kitted, Staged, and Issued. Part availability shows at a glance whether a work order has all the parts it needs to begin. Together they reduce delays, prevent overcommitting inventory, and give clearer visibility into upcoming work. You can enable these features in Parts Inventory Settings.

Work Order Brief

MaintainX CoPilot® can now generate a Work Order Brief before you start a work order, giving you a high-level summary of what needs to be done and why. The brief appears in the Brief card and includes Context, On This Asset, and On Similar Assets sections, and you can ask follow-up questions or refresh the brief after editing the work order.

Work Order Summaries

We expanded the documentation for work order summaries. You can enable summaries in your organization settings and add written or voice notes when completing a work order, allowing MaintainX CoPilot to build an internal knowledge base and provide better asset recommendations over time.

Global Work Order Fields

Global Organizations can now standardize work order forms across all sub-organizations from one place. You can set default fields as required or optional, create custom fields, merge similar fields, and convert fields between local and global. Global fields are marked with a Global Organization icon in each sub-organization's work order settings.

Parts Inventory

Following the general availability of part statuses and part availability, we updated the parts inventory documentation. This includes a new setting to enable the features, the additional part fields shown in part details and work orders, and how to filter parts by status and availability.

Asset Source Sharing

We documented how MaintainX CoPilot identifies assets with the same manufacturer and model across your organizations, and shares work order summaries and asset manuals between them for better contextual recommendations. You can disable source sharing in your asset settings.

Transfer Assets Between Organizations

We clarified how meters and automations behave when you transfer an asset between organizations in a Global Organization. Meter readings transfer with the asset, but automations must be reconfigured in the receiving organization, and we documented the limitations around OT-connected meters and automation triggers.

Asset Packages

We updated the Asset Packages documentation to reflect that you can install pre-configured packages from the MaintainX® Asset Hub, an online portal of OEM-provided equipment packages. The documentation now focuses on discovering and installing these packages.

We improved the guidance for importing data, including clearer instructions for resolving common errors when importing asset data from a CSV or Excel file.

MQTT On-Premise Agent—Custom Subscriptions

We added detailed documentation for MQTT Custom subscriptions on the MaintainX On-Premise Agent. This covers topic patterns and wildcard rules, Raw and JSON payload encoding, automatic type inference, the sensor naming matrix, and troubleshooting guidance.

Ignition Module

The Ignition Module documentation now offers version-specific guides for Ignition 8.1 and 8.3, including User Defined Type (UDT) support. We also added flow diagrams that illustrate the batch service, tag subscription service, and tag value changes, and expanded the connector coverage details.

We updated the Export Data section of the organization settings to clarify the permissions required to export data and to provide direct links to the relevant documentation.
