Help Center updates for September 2026:
- New We added Connected Data documentation, published Location Check-In (Beta), added Create a Procedure From a Video (Beta), and published Parts Search (Beta).
- Updated We updated MaintainX® Assist with new capabilities, documented customizing default part fields, added work order settings for To Do and mentions, updated Reporting to match the sidebar screens, documented purchase orders on mobile, documented custom dashboard copy behavior, and separated generally available and Beta steps for creating a maintenance plan.

New Articles
Connected Data
We published a Connected Data section for bringing equipment and sensor data into MaintainX automatically. The overview covers data sources (OT systems, purpose-built sensors, and the REST API), how connected data supports maintenance maturity, and the modules involved—meters, monitoring points, OT data connectors, automations, maintenance plans, and reporting. We also added setup guides for three common use cases: usage-based maintenance, condition-based maintenance, and automated asset status changes. Monitoring points group related meters from the same physical location on an asset. We updated related OT, meters, and glossary articles to match.

Location Check-In (Beta)
Location Check-In is in Beta. We added documentation for requiring technicians to verify they are physically present at a location before they can complete procedure steps. The article covers configuring a Location Check-In step in a procedure template, setting the check-in location and buffer on a work order, completing a check-in on mobile, and optional skip behavior. We also updated procedure fields, work order form fields, and work order completion to cover this step.

Create a Procedure From a Video (Beta)
Create a Procedure From a Video is in Beta. We added documentation for generating a new procedure from a recorded walkthrough. You upload a video, and MaintainX creates procedure fields linked to the video segments they are based on. Technicians can watch the segment for each field while they complete the procedure. The article covers source video requirements, generation, and editing the timeline. We also updated About Procedures to distinguish this from the AI procedure generator, which uses photos, voice, or uploaded documents.

Parts Search (Beta)
Parts Search is in Beta. We added documentation for searching parts across more than the part name or QR code. Search now includes description, part ID, vendor part numbers, custom fields, asset names, and vendor names, with ranked results and partial matching. This helps technicians find parts from identifiers they already have, without putting extra identifiers in the part name.

Updated Articles
MaintainX Assist
We expanded MaintainX Assist documentation to cover new capabilities. MaintainX Assist can answer complex, multi-part questions, troubleshoot from maintenance history when an asset has no attached manual, count and prioritize work, check asset statuses, and give step-by-step instructions for tasks in MaintainX. It can search work order descriptions, comments, and summaries, retrieve comments and notes across languages in chat, and include source references in answers. We also removed documentation for creating a work order from a MaintainX Assist answer, which is no longer supported.

Customize Default Part Fields
You can mark default parts fields as required, not only custom fields. Required fields include Description, Unit Cost, Area, Minimum in Stock, Maximum in Stock, Average Lead Time (Days), Barcode, Part Type, Teams, Assets, and Vendors. Per-location required fields must be filled in for every part location. Required fields also apply to integrations, the REST API, and parts imports.

Work Order Settings
We documented two work order settings. Show Work Orders in To Do by Start Date Only controls whether work orders appear in the To Do view based on start date only, or also when they are nearly due or overdue. Assign Users and Teams on Mention controls whether mentioning a user or team in a work order comment assigns them to the work order.

Reporting
We updated Reporting documentation to match the sidebar UI. Reporting is organized into screens rather than tabs, and Custom Dashboards is now Dashboards. Navigation paths, screenshots, and related report and dashboard articles use the updated labels.

Purchase Orders on Mobile
The Purchase Orders module is now available in the MaintainX mobile application. We added mobile steps for creating and editing a purchase order, including vendors, order items, taxes, and shipping and billing details. We also added mobile steps for approving or rejecting, completing, canceling, deleting, exporting, and sending a purchase order to a vendor.

Custom Dashboards
We documented what happens when you copy a custom dashboard. You can only copy an unpublished draft. When you copy the draft, the original dashboard reverts to its last saved version, and the new dashboard includes both the saved and unsaved cards from the draft. We also reorganized the update steps so publishing changes, copying to a new dashboard, discarding a draft, and deleting a dashboard are covered together.

Create a Maintenance Plan
We reorganized the steps for configuring a maintenance plan schedule into General Availability and Beta tabs, so you can follow the steps that match the features enabled for your organization. The Beta tab covers schedule behavior (based on original schedule or last completion), usage-based and time-or-usage-based schedule types, and usage triggers. We also clarified that the recurrence controls how often work order due dates occur.
