New Articles

Sub-Work Orders

Break large work orders into smaller, trackable sub-work orders. Sub-work orders share context from the parent work order and can be assigned to different teams or assets. The parent work order shows the progress of all its sub-work orders, so you can track overall completion in one place. Sub-work orders replace the multi-asset work orders feature.

Session Timeout

Organization Administrators can now configure a session timeout to automatically sign out inactive users. A new article covers how to enable the setting, how the timer resets when a user is active, and how the app protects work in progress when a session expires.

Generating a Procedure in a Work Order with AI

Users can now get AI-powered procedure recommendations directly in a work order. MaintainX® searches your procedure library to suggest relevant procedures based on asset title and details, and can generate a new procedure from scratch when no existing one fits.

Root Cause Analysis—Work Order Linkage

You can now link work orders to a root cause analysis report. This connects the repair effort to the failure investigation. Linked work orders also contribute to the report's repair time calculation.

Maintenance plans now support nested preventive maintenance, which allows you to manage multiple recurring work orders with different schedules within a single plan.

The MaintainX CoPilot button now appears on every asset details page, even when model or manufacturer information is missing.

The automation condition fields and action fields have been updated. The Asset Status condition replaces Between Certain Hours. We updated action field descriptions for Create Work Order, Create Request, Change Asset Status, and Send Notification.

Ignition Module

The Ignition module now supports multi-site configurations allowing a single Ignition Gateway to link to multiple MaintainX integration instances. Tag path subscriptions have increased from 100 to 300 per connector. We also documented new module, connector, and redundancy statuses and included a Python diagnostic script.

Asset and Location Search Fields

We documented which fields are searchable when filtering assets and locations. Assets can be searched by name, barcode, and serial number. Locations can be searched by name, barcode, and address.

Parts Inventory Settings

A new Manage Negative Ordered Quantity setting prevents ordered quantities from falling below zero. When enabled, MaintainX calculates Ordered Quantity as Ordered - Fulfilled, but won't drop below 0, even if you receive more parts than you ordered when fulfilling a purchase order.

User Roles and Permissions—Work Order Visibility

We clarified how work order visibility interacts with assets and locations. Users with limited work order visibility can still see work orders in the Work Order History section. This applies to assets and locations that their team manages.
