Help Center updates for July 2026:

  • New We added a Build with MaintainX® section for REST API developers, published Custom Work Rotations documentation, and reworked the Kepware IoT Gateway docs.

Build with MaintainX​

We published a new Build with MaintainX section for developers integrating with the MaintainX REST API. The guides cover generating an API key and sending your first request with Bruno, authenticating with bearer tokens (including multi-organization access), rate limiting, webhooks, and external identifiers (externalId) for linking MaintainX records to IDs in your own systems.

Custom Work Rotations (Beta)​

Custom Work Rotations are in Beta. We added documentation for creating recurring work schedules that extend beyond a standard seven-day week—such as 4-on/4-off, Pitman (2-2-3), or other custom patterns up to 30 days. Rotations can support future start dates so users stay on their current schedule until the new rotation takes effect. We also updated Resource Planning and custom role permissions to cover this feature.

ERBESSD INSTRUMENTS Integration​

We added documentation for the ERBESSD INSTRUMENTS integration, a fully managed OT data connector that streams PHANTOM wireless vibration sensor data into MaintainX to power condition-based maintenance alerts. The docs cover how the integration works, setup requirements, creating a connector instance and token, and configuring the PHANTOM Gateway to push sensor data to MaintainX. We also updated the OT Data Connectors overview to distinguish between fully managed and self-managed integrations.

Kepware IoT Gateway​

We reworked and expanded the Kepware IoT Gateway documentation. New articles cover the connector overview (including region-specific agent endpoints for US1 and EU1), an architecture overview describing how tag data flows from Kepware to MaintainX, and how to add tags to the Kepware agent. We also reorganized the setup and configuration guide, including guidance for choosing your region.

Create a Work Request with AI​

On the MaintainX mobile application (Enterprise), MaintainX AI can help you create a work request. You can start a conversation so AI asks follow-up questions, record a voice note for transcription, or describe the issue in your own words and generate a request. MaintainX AI fills the title, description, location, and priority, and you can add photos for context.

Automations​

We expanded Automations management documentation for teams with a large number of automations. You can switch between Panel View and Table View, filter by asset or meter, and enable, disable, or delete multiple automations at once. Creating an automation now auto-selects the related meter or asset when one is already connected, and you can filter assets by meter unit when adding multiple assets. For Increases by (from last trigger) and Decreases by (from last trigger) triggers, the automation details page shows a Next trigger at value.

Report Builder​

We added a Work Order Times dataset to Report Builder so you can report on time logged against work orders, including start and end times, duration, hourly rate, and time type. The Work Orders dataset now includes a Parent/Sub-work order field, and formulas can use date values in addition to numeric, currency, and timestamp values.

Parts Inventory—Maximum in Stock and Needs Restock Trigger​

We documented the Maximum in Stock field, which sets a target ceiling for part inventory and helps MaintainX calculate how many units to order on a purchase order. If your organization previously tracked maximum quantity in a custom field, you can migrate those values with Copy custom field to Maximum in Stock. We also documented the Needs Restock Trigger setting, which lets you restock based on either In Stock or Available quantity (In Stock − Committed stock) compared to Minimum in Stock.

Ignition Module—UDT Tag Trees​

We reworked Ignition tag configuration guidance for User Defined Type (UDT) tag trees. MaintainX flattens UDT member paths into meter names using slash separators, and you can subscribe to all member tags under a UDT instance or to a single member tag. Setup and tag configuration are now covered in separate articles.

We updated the MQTT On-Premise Agent documentation to use tag terminology consistently in place of sensor, including in subscription configuration and the tag naming matrix.

Global Organization Settings—Maintenance Plans Scheduling Horizon​

Global Leaders can set a default scheduling horizon for new maintenance plans. That default is applied automatically when users create maintenance plans in sub-organizations. The scheduling horizon controls how far in advance a maintenance plan generates work orders.

We expanded the MaintainX Glossary with additional terms, including Fixed Interval, Floating Interval, and Work Rotation.

Power BI Integration​

We updated the Power BI integration setup instructions. The Key usage dropdown for generating a Reporting API key is now available to all customers, so you no longer need to contact support if the option was previously missing.
